Frequently Asked Questions (FAQ)

Question

Answer

What sheets are included in the Excel export?

When you export a Coverage Report as an Excel file, the file includes multiple sheets organized by content type. Select a tab at the bottom of the spreadsheet to switch between sheets. Sheets may include Summary, Articles, and Clips, depending on the content in your report.

What's the difference between "Filtered rows" and "All rows"?

When exporting, you'll have the option to choose which articles are included:

  • Filtered rows — exports only the articles currently visible based on any filters you've applied to your report

  • All rows — exports every article in your report, regardless of active filters

If you haven't applied any filters, both options will produce the same export.

Can I export a Coverage Report in a format other than Excel?

Yes! When exporting, you can choose from the following formats:

  • Excel

  • PDF

  • Rich Text

  • Rich Text with linked title

  • Linked outlet name only

Select your preferred format in the Export modal before selecting Export.

How can I export the links from a Coverage Report?

Select Excel as your export format. Once downloaded, open the Articles sheet, where each article row includes a URL column with the direct link to that piece of coverage.

Troubleshooting Export Issues

Issue

Solution

Nothing happens when I select Export — no file downloads and no success message appears.

This may mean the export is stuck or cannot be processed.

  • Excel exports: Confirm that your export request contains fewer than 10,000 links (Articles and Clips combined). If your report contains more than 10,000 links total, you'll need to use the Date Range filter to break the request into smaller portions—under 10,000 links per Excel export request.

  • PDF exports: Make sure your export contains 400 or fewer links. If your report contains more than 400 links total, you'll need to use the Date Range filter to break the request into smaller portions—under 400 links per PDF export request.

My Coverage Report export email is taking a long time to arrive or I haven't received a download.

Large reports with many articles may take a few minutes to generate. If the download has not appeared after a few minutes:

  • Check your browser's Downloads folder — the file may have downloaded without a visible prompt.

  • Disable any browser extensions that may be blocking file downloads and try again.

  • Try exporting from a different browser.

  • Confirm that your export request contains fewer than 10,000 links (Articles and Clips combined). If your report contains more than 10,000 links total, you'll need to use the Date Range filter to break the request into smaller portions—under 10,000 links per request.

My exported file is missing articles URLs, or the URL column is blank.

If article links appear in your report on-screen but are missing from an exported file, open the export in Excel and click Enable Editing (or Edit) in the banner above the first row. This Excel security setting allows the links to display properly.

My Excel export shows a blank or missing Clips tab.

The Clips tab only appears when your report contains broadcast coverage. If it is blank or missing, your report does not include any broadcast clips. Broadcast coverage requires a separate add-on subscription — contact your account team for more information.

Can I request that Coverage Report exports be emailed to a different email address?

Coverage Reports are only delivered to the account email address of the Muck Rack user who requested the export; Coverage Report exports cannot be sent to any other email address.

I triggered an export but can't find it — I've been checking my email and it hasn't arrived.

Coverage Report exports can either send and email or download directly to your device. If the poop-up indicated a download was beginning, your export was not sent by email. Check your browser's Downloads folder. If the file isn't there:

  • Try exporting again and watch for a download prompt in your browser.

  • Disable any browser extensions that block file downloads and retry.

  • Try a different browser.

  • Confirm your report contains fewer than 10,000 links (Articles and Clips combined) for Excel, or fewer than 400 links for PDF.
