Multi-Org Access

Multi-Org Access enables in-house public relations and communications teams to better collaborate with agency partners using Muck Rack across their PR workflows, including when creating media lists, prepping pitches, analyzing coverage, and more.


The Value of Multi-Org Access

Brand customers who utilize Muck Rack now have the convenience of inviting their agency partners to become additional users within their organization. This allows agency partners who are already registered with Muck Rack to utilize the same email address to access client organizations. As a result, they can effortlessly switch between various organizations without the need to log out and back in repeatedly.

Switching between accounts

By clicking on their organization or profile name located in the upper right corner, a dropdown menu presents all the organizations you are part of, enabling you to select the specific organization you wish to work from at any given time.

NOTE: If you are currently using multiple logins for separate Muck Rack organizations, please contact your Customer Success Manager or our Support team through the chat box at the lower right-hand corner of your screen to have your accounts merged.


Challenges Solved for Brands

Multi-Org Access solves the following collaboration difficulties:

  • Lack of transparency into what agencies are working on and lots of extra back-and-forth communication between brands and agencies (E.g. who an agency is reaching out to on their behalf, open rate of a given pitch or which outlet covered which story).

  • Understanding whether a task has already been completed promptly in order to avoid duplication of effort.

  • Hard to measure PR performance with information spread across brand and agency systems (no system of record / working from different or out-of-date data.

  • Lack of ownership of PR data poses risk for in-house teams


Challenges Solved for Agencies

In the past, the need to switch between multiple brand accounts often required multiple credentials to sign into each client’s organization. This resulted in:

  • Need to spend extra time compiling reports showing the amount of work and actions taken on behalf of their clients, including, at times, all the communication back and forth with a journalist for the client to feel they are getting what they’re paying for.

  • Working back and forth with a client on a media list has often meant downloading the list from Muck Rack, sending it to the client for review, and then re-uploading the list into Muck Rack – even if the client also has Muck Rack.

How do I differentiate between organizations?

You can see the organization name and icon in the top right corner of the navigation bar. You can also see the organization name in the browser tab.

I am seeing my organization name in the Muck Rack URL (web address)... what is this?

This is called a subdomain. It's a way for us to differentiate when users work in one organization vs another and to ensure the changes they make in one organization, stay in that organization.

If I click on a link that does not include the organization name (subdomain), what happens? (i.e. journalist pages, blog posts)

Those links will be opened using the most recently active organization that you were working in. For exports, email alerts, etc, since those are organization-specific, users will be directed back to the relevant org that the email alert, export, etc. originated in.

Can I move Media Lists, Pitches, Coverage Reports, etc. between organizations?

No.

Will anyone who I invite to my organization from outside my company be able to see media lists, custom contacts, etc. shared with the organization?

Yes. This user will have the same access as any other user in your org with the same user role.

User Management & Settings

Will anyone who I invite to my organization from outside my company be able to invite other users into my organization?

Yes. They will have the same ability as any other user to invite people into the organization. Anyone who is invited to the organization must have a pre-approved email domain to be invited.

Who is allowed to be invited into multiple organizations? Can Journalists be assigned to an organization?

Multi-Org Access is for PR users only.

Will my account settings be saved for all organizations I am in?

Yes. The fields which will be the same across all organizations are the user's first name, last name, email, photo, and security settings.

  • All other fields have been moved to the Settings page and are set independently for each organization you’re a part of.

I already have two Muck Rack accounts. Can my accounts be merged?

Yes. Reach out to our Customer Support team to have those merged.

Will user roles/permissions be impacted?

No. Users could be assigned a different role (Admin or Teammate) for each organization if desired.

How is the name and photo for a user going to appear for each organization?

Name, email, and account photo will be the same across all organizations that a user has access to.

Will users still only have one account if they’re tied to several organizations, or several?

From the user perspective, customers will see one account that is tied to all organizations.

Where did all my settings such as duplicate detection, signature, etc. go?

All settings except first name, last name, account photo, and security settings have been moved to the settings page under personal settings.

Can I set different signatures, job digest settings, etc. for each organization I’m in?

Yes. The only fields that will be the same in all organizations are the user's first name, last name, email, photo, and security settings.

Will subdomains be inherited by the company’s ID within our systems today?

For launch, subdomains will be auto-generated but can be changed by Muck Rack Staff.

How will the organization name in the upper right reflect which organization I’m working on?

Once you select the organization to work in from the account dropdown, that organization name will be what appears in the upper right corner.
