If you often send documents out that need to be signed by your counterparty and then counter-signed by you, here is a way to set up a process that you can re-use quickly later:

If you often send documents out that need to be signed by your counterparty and then counter-signed by you, here is a way to set up a process that you can re-use quickly later:

  1. Set up a form that will ask your counterparty for data that needs to be placed in the contract. Assign a unique variable name to each field that need to be placed in the contact (for each such field click on 'advanced settings', scroll down to the 'variable' section and assign a name of your choice without any spaces). If the field is embedded in a section, assign a name to that section as well. This is important because to reference the value of the field you will need to specify both the name of the section and the name of the field this way: {name_of_section.name_of_field}

  2. Set up a Dynamic Template with the body of the contract by cutting and pasting the content into a new template. Create variables by enclosing them in {} braces. For example, {name}, {address}, {company_name} could reference values from the form with "name", "address", "company_name" variable names. For signature fields to the following:

    1. Choose {#signature.1#} for a signature tag for your client.

    2. Choose {#signature.2#} for a signature tag for yourself.

  3. Create a workflow with two steps:

    1. The form defined in step 1 above

    2. The Dynamic template defined in step 2 above. Make sure you tick the box "tick this box if there is a second person who needs to sign this document...". In the Email address section put your own email address.

  4. Save the workflow. To send it out double click on the workflow, click "share" and specify the email address of your client. Your client will receive an email to start the process. Once they get to the second step and sign the document, you will receive an email to countersign.
