Configuring portals' look and feel

Let's customise your client portals so that they look and feel exactly as you require.

1. First, let's determine what tabs you wan to have turned on.

You can turn on or off functionality, and specify your own labels on portal tabs. To do that go to the Portal Group settings, in General tab:

The page that opens up will show you all available tabs on the left and all enabled tabs on the right. Your version will look a little different because 'Available items' include 'Workflow Models' that you may not yet have set up.

To set up bespoke workflow models go here.

The tabs on the left appear in the following order:

  1. Home (Documents)

  2. Subportal Groups, if any are defined

  3. Workflows (contains the list of workflows)

  4. Workflow Models, if any are defined. Workflow Models also appear on the list of Workflows but they are also available here if you would like to "Promote" an important workflow so that it is visible as a tab.

  5. Public Documents. Appears only if you have added any documents you would like to share with all portal users in the current Portal Group

  6. Chat

  7. Documents

  8. Signed Documents. This folder appears automatically only if there are any documents that have been signed in the portal. It is a utility feature that helps you see all documents that have been signed, even if the originals are spread across many folders or workflows in the portal

  9. Forms. Appears only if you have added at least one Form Template. For best experience we recommend you define at least two templates.

  10. Request Files. Appears only in the Administrator's view and allows Company Users to request documents from Portal Users. Portal users do not need to login to upload the documents.

2. Enable a welcome video or a tutorial

To enable your bespoke video or tutorial, to go your Portal Group Settings / Tutorial and fill out the required fields:

There are several allowed combinations:

Video only:

  • for YouTube videos, use 'video URL' (the video will open inside the portal)

  • for Vimeo videos, use 'article URL' (the video will open in a new tab). This has an additional benefit of letting users view your video while going through the portal or the workflow

Article only:

  • the URL will open in a new tab

Both the video and an article:

  • currently works with YouTube videos only

  • the Video will open in the portal

  • a 'read more' button will appear in the bottom left corner of the video popup window. It will open in a new tab

3. Finally, set up a set of default folders for your 'Home' tab and default welcome message for your clients.

Here is an example of what the portal could look like from the client's perspective:
