Setting up Workflow Templates

Workflow Templates are collection of actions (such as an signing of documents, filling out webforms, viewing documents) that can be defined once, in Portal Group settings, and then clone and execute in each portal.

This is ideal for customer onboarding, job applications or more.

You can define Worklfow Templates by going to Portals and selecting a Portal Group:

To define a new Workflow Template, click the '+' button:

Then define the workflow template steps using the '+' button. Once finished, click 'Complete' and then 'Close'

The Workflow Template will appear on the list. The 'crossed eye' icon that appears next to it means that the workflow is not yet visible in client portals. You can still use it by cloning it in individual portals. If however you want all client to see that worklfow, click on that icon - it will turn into an 'eye' icon.

How to run the workflows defined in Workflow Templates?

All workflows with the "eye" icon next to them automatically appear on the list of available workflows in each portal (under the "Worklfows" tab). You can also "promote a specific worklfow" to its own tab if you wish. Do that in Portal Group Settings / Tab Configuration.

Embedding a Workflow Template in a Portal

If you would like the Worklfow Model to be visible in all portals as a portal tab, you can do that in Portal Tab Configuration screen which you can find in Portals/[portal group]/Settings/General/Open Portal Tab Configuration

All available Worklfow Models will appear on the list of "available items" on the left hand side. You can select one or more of them, adjust the tab name (via the 'pencil icon') and its order relative to other tabs (via the "handle icon" to the left of the item's name).

Note that a workflow CANNOT be the the HOME tab in a portal - so in the above picture the Onboarding workflow will have to be moved further down the list.

HOME tab is the tab that is the leftmost tab that opens first when someone enters a portal. You can use:

  • Documents

  • Signed Documents

  • Public Documents

as HOME

Once a workflow is set up as a portal tab, it will become visible in all portals in the respective Portal Group.
