Can I do THIS via MyDocSafe?

Here are a few things to think about before you jump into configuring MyDocSafe. We do not expect you to understand all the terms used in the "Answers" section. This table is just to re-assure you that we cover the requirements listed below. You can come back to this table later once you play around with the system.

I need to ask clients to fill out data anonymously

Option 1: A webform in the Documents area with a public link (embedded in a button and published on your website).

  • Pro: simple link, no login required

  • Con: possible spam

Option 2: Self-signup link to a portal. The webform needs to be saved in Form Templates area in the Portal Group to show up in the portal

  • Pro: higher security, more features

  • Con: each client needs to set up their own login

My clients will have a number of projects / cases (ex. a real estate agent + properties)

Option 1: Use 1 Portal Group for all clients. Use 1 portal per client. Create a subportal group for projects / cases (ex. "properties"). Each portal will automatically get a "properties" button. Add a subportal per project/ case.

  • Pros: Easier to navigate, easy to securely distribute documents to Subportals

  • Con: Subportals cannot be configured as well as Portals (unless you have an Enterprise plan)

Option 2: Use 1 Portal Group per client and 1 portal per project.

  • Pros: Each project / case benefits from all portal features including forms, chat, esign etc.

  • Con: Not great if the number of clients is large

My clients are companies with employees

Use 1 portal per client. Create a subportal "employees". Then create a subportal per employee.

I need each client to go through a structured workflow

Option 1: use Proposals for simple workflows (select services, sign a contract, fill out a questionnaire, pay)

  • Pros: allows you to price your services and fully onboard your clients

Option 2 (still in beta): use Portal Workflows for simple workflows (sign documents, fill out forms, pay)

  • Pros: ideal for repeat workflows: all workflows will 'live' in the same portal

Option 3: for complex workflows, contact us about Enterprise plans

I really care about branding

Get a branding add-on to configure your portal URL and email sending domain (we will email your clients using your address)

I need the data to travel from MyDocSafe to a third party system

Tell us what data you need to export and what system you use. We will tell you what is possible.

Option 1: Try our Zapier integration.

Option 2: (still in beta): use our marketplace to connect to the available systems

Option 3: Own API integration (you do the programming and pay per API call)

Option 4: For periodic export of documents use our Dropbox integration

I have a number of employees who must not have access to all portals

Option 1:

  • In each Portal Group create Access Groups (basically, create named 'sets')

  • Assign each portal to 1 Access Group.

  • Create a Company Role and give it access to your chosen Access Group.

  • Invite your colleagues and assign them a chosen Role

The main benefit of this approach is that each time you add a portal and assign it to an Access Group, all relevant employees will automatically gain access to it.

Option 2:

  • Create a Portal Group per employee.

  • Create a separate Company Role for each Portal Group.

  • Assign each employee to a different Role

The main benefit of this approach is that adding new portals is a little faster (you do not need to assign each portal to an Access Group). However, since each Portal Group is configured separately, you will need to maintain uniformity manually (such as folder templates, form templates etc.)

I need to sign documents with clients before I invite them to a portal

Option 1: Send the document for signing from the Documents area.

  • Pro: very quick to configure as there is no need to create portals

  • Con: be careful how to structure your folders as documents signed by unrelated parties are likely to saved together

Option 2: Create a Portal without inviting any clients to it. Upload the document that needs signing into that portal, right click and send for signing to your client.

I need to run ID checks on clients

Option 1: Use ID feature in Proposals

  • Pro: client fills out the data

Option 2: Use ID checks feature in Documents area

  • Pro: you are in control of the process as you fill out the data

  • Con: you need to get the data from the client first

Option 3: Contact us about Enterprise plans
