How to create digital vehicle inspection forms

In Navirec, it is possible to create digital inspection forms, which make it possible to simplify the systematic monitoring of the technical condition of the machine fleet. The form can include both multiple-choice and open-ended answers, and allow adding photos. Filling out the form is done conveniently through the mobile app, and it is automatically saved in the solution and can be viewed and downloaded as a PDF under the vehicle data.


Creating new digital forms

  • Now you can start creating your new form. First, name your form and then start adding questions to it by clicking on the drop-down menu Add question

  • Make the appropriate choice from the drop-down menu. For example, when creating a form for a technical inspection of a vehicle, it is reasonable to start with the vehicle registration number, date/time, and the person executing the document. You can also set the odometer reading to fill automatically.

    • Then you can add as many fields as you want and choose questions according to the type of answers - free text, yes/no, multiple choice, etc.

  • If you have chosen the type of question (e.g. Vehicle), you can change how the question is displayed to the person filling out the form (e.g. Vehicle reg. no.). You can also choose whether answering the question is Required or not by ticking the boxes.

  • The option to add attachments can also be added to the form. For example, if you want damage to the body of the vehicle or a dirty interior to be recorded during the inspection, the person filling out the form can take a photo or video and save it with the form.

  • If you are done adding questions to the form, you can preview it by clicking Preview form.

  • If you want to change the order of existing questions, you can do so conveniently using the drag-and-drop function.

    • Click and hold the left mouse button on the bubbles in front of the question and drag the question up or downwards. If you wish, you can also change the question type, name, and answer requirement.

  • If the form is ready, click on Publish at the top right corner of the screen.

  • After publishing the form, determine which users/user groups have the right to see the forms, fill them in, and view the answers.

    • To do this, select the appropriate option from the top menu bar and tick the desired users and rights. Save your work.

  • Your newly created form is now visible in the list of forms and can be filled out in the Navirec mobile app.


Filling in forms in the mobile app

  • Forms can be filled in the Navirec mobile app.

  • Log into your account and choose Forms from the bottom menu bar. Then choose the form you want to fill.

  • Now you can start filling in the fields.

  • To add an attachment, click on the upload area and choose whether you want to take a new photo, video, or add an attachment from the phone's media files.

  • If all the fields have been filled out, click on Submit at the bottom of your screen.

  • To view submitted forms, click on Form responses from the top of the screen. A list of saved form responses will open. Choose the desired form and you can view the answers and attachments.


Viewing submitted forms in the online solution

  • If you want to see the answers to all forms, select Forms > Responses in the online solution. A list of saved responses from all forms will open.

  • To view the answers, click on View response on the corresponding form. You can also download a PDF file.

  • To see the responses for a specific form, select Forms and click on the name of the desired form.

    • Then select Responses from the top menu bar and choose the answer you want to view from the list. Once again, you can view the answers online as well as download a PDF file.
