Scheduling Forms in your Digital Food Safety Diary

Using the Diary > Manager section of your Digital Food Safety platform you can schedule form completion for your team.

Note: To use the Diary > Manager section of your Digital Food Safety platform you will require access to a Site Manager user account.

Lets get started.

  1. Log on to your Digital Food Safety platform.

  2. On the left hand side toolbar, click

    then

  3. Locate the date on which you would like the form to be completed. You can navigate through the calendar using the icons in the top right hand side. Once happy, click on the date in the displayed calendar.

  4. The ‘Create Event’ window will launch

  5. Give your event a name (EG. Opening checks)

  6. Leave the ‘Staff Assigning’ drop down as ‘Not Assigned’

  7. Select form type

  8. Select the form you wish to assign to this event.

  9. Set the duration of the event. The default is one day however this can be amended as below.

    1. To set the even over multiple days, adjust the From and To dates as required

    2. To enable the event to be set at specific times, untick the ‘All Day’ box below

    3. This will enable you to set a specific time and date duration

  10. If you wish to schedule a repeating task (A form that repeats every day E.G A daily checklist that is set to repeat each day) this can be done by ticking the 'repeating' box.

  11. Navigate to the repeating tab below to enable the Repeating configuration window

  12. Set the repetition frequency using the drop down lists (EG in the below example, the event will repeat daily, by every 1 day.)

  13. Specific days can be included/excluded as required using the tick boxes below. In this example the event will repeat every Monday, Tuesday, Thursday, Friday and Saturday. Sunday and Wednesday will be excluded.

  14. Set an end date for the event. If you choose to select ‘Never’ the event will continue indefinitely. If you choose to select ‘After Count’ the event will schedule for the desired number of occurrences and end after the number is reached. If you choose to utilise ‘At’ the event will end on the chosen date.

  15. Expired Task Alerts allows you to configure notifications to selected users in the event that the form is not completed in time. To enable this configuration, click the ‘Expired Task Alerts’ box as shown here.

  16. In the ‘Expired Task Alerts’ tab, select ‘email’ from the drop down list. To set up the alert, input the email address you wish to notify in the ‘Email/number’ box. For example the below picture shows alerts set to send to ‘test@naviatssafety.com

  17. If you would like to send multiple expired task alerts, you can do so by clicking the

    icon and following the steps again.

  18. The ‘Task Colour’ bar enables you to customise the colour of the event in the calendar. This serves as a visual aid and you may wish to colour coordinate events of a similar nature. (EG all cleaning schedules to green). To set a colour simply choose from the bar.

  19. The description of the event enables you to summarise what the event is. (EG Daily cleaning schedule). This serves as a reminder only and will not impact form use. It is not necessary to set this if you would prefer to leave blank.

  20. The ‘Reminder’ configuration enables you to set reminders to remind users that the event is upcoming in the Diary. Reminders can be set to pop up on the Digital Food Safety Platform, to be sent via email, or both.

  21. To set a pop up reminder, in the Reminder configuration select ‘Popup in site’ from the drop down list. Leave the ‘Default’ box empty. You then need to set a time for the reminder. In the below example, the reminder is set to pop up on the platform 30 minutes before the event is due. When the reminder arrives, a message will display in the top right hand side of the platform reminding a user to complete.

  22. To set an email reminder, in the Reminder configuration select ‘Email’ from the drop down list. In the ‘Default’ box, type the email address you would like to send the reminder to. You then need to set a time for the reminder. In the below example, the reminder is set to email 30 minutes before the event is due.

  23. If you would like to send multiple reminders, you can do so by clicking the

    icon and following the steps again.

  24. Once satisfied, click the

    button to create the event.

  25. The ‘Create Event’ window will disappear and you will now see the event scheduled in your Diary.
