How to Book an Appointment Manually

If a customer contacts you in person or over the phone, book them into your timetable manually for a standard or repeating appointment.

To book someone in, go to your Timetable and select the appropriate time slot, and click "Add a new appointment".

Then, select the service(s) to be attached to the appointment and the quantity for each - and click 'Continue'.

The next step is to link a customer to this appointment.

You can either:

  • Search for an existing customer thanks to the search bar.

  • Create a new customer.

  • Add a guest: only enter the name of the customer without linking it to any existing/new record.

  • Skip and don't link any client name to the appointment.

Check and adjust settings for booking confirmations and reminders, then confirm the appointment by selecting Continue.


​Repeating Appointments & Applying discount

On the "Other" section before confirming the appointment, you can enable Repeat booking option to create consecutive or repeating appointments for your customers. You can also apply a discount to this appointment if needed.

Number of Consecutive Appointments: This is usually left at one, but you can book multiple appointments in a row if required.

Repeat Booking: If a customer would like an appointment at the same time every X number of weeks, use this feature. You can specify how frequently and how many repetitions are to be booked.

Select Appointment - Book Someone In.

Type their name into the Appointment name search bar and their name and contact details will appear in a drop-down below.

Select the name and choose the relevant service(s).

Check the settings to send a confirmation message and schedule a reminder and adjust if required. Then, confirm the appointment by selecting Book.

Booking in a new customer

Select Add Customer to the System.

Fill out their details, then click Save.

Select the name and choose the relevant service(s).
