Reminders are an effective way to avoid lost income from customers forgetting their appointment. Email reminders are free to send, while SMS reminders cost just 4p per text.

You can enable these within Business Boosters > Reminders:

Settings explained

Sending hours

We advise setting these to general waking hours. If for example:

  • Sending hours: 08:00-21:00

  • Delivery time: 8 hours before the appointment

Below are some example timings with edge cases where the scheduled reminder is outside of the sending hours (e.g. 08:00-21:00):

Appointment

Reminder

SAT 17:00

SAT 09:00

SAT 12:00

SAT 04:00

-> Send on SAT 08:00

SAT 08:00

SAT 00:00

-> Send on FRI 21:00

SAT 08:45

SAT 00:45

-> Send on FRI 21:00

The system uses a 1-hour minimum notice, so in the last example above, the reminder would be sent the day before (at the end of the sending hours) rather than on SAT 08:00 (45 minutes before the appointment).

We recommend setting the Delivery time to 24 hours before the appointment for email, and closer to the appointment (e.g. 4 hours) for SMS.

Custom SMS message

You can stick with the default message:

Hi {customer_first_name), don't forget your appointment with {staff_name} at {time} {day_of_the_week} - {shop_name}

Or create your own:

Default SMS option

Choose [Enabled by default] so that the customer has the reminder toggled ON by default when booking an appointment:

You can see on the appointment record when the reminders are due to send:

If the reminder is missing, then the customer or admin may have toggled it off when booking, or the feature was not enabled at the time of booking.
