Quick Summary: The Expiry Dates Module is designed to intelligently manage inventory with expiration dates. It works by prioritizing the consumption of stock based on production and expiry dates, to minimize wastage. The app automatically deducts the expired stock from the inventory, updates stock levels and adjusts recommended orders and stock status metrics.
Finding expiry data in the app
The Expiry Dates Module adds tabs and data to existing pages and calculations in the app.
Expiry data is added to the Inquiry page
The Inquiry page has an additional tab labeled Lots, with a table of expiry data for the selected item and location.
Lot numbers are the codes assigned to batches of products that share a production and expiration date with the item.
Production dates display when each Lot was produced or made.
Actual expiry dates are the official expiration dates for each Lot.
Effective expiry dates are used by the app to determine if Lot quantities are at risk of expiring before they are consumed by demand. These dates can be earlier than the actual expiry date, depending on factors such as a minimum shelf life requirement.
Lot quantities reflect the item’s stock allocation in each Lot.
Expired quantities will equal the Lot quantity if the Lot’s effective expiry date has passed.
At-risk quantities highlight how much of a Lot quantity is projected to expire, based on the demand for the item.
Estimated depletion dates highlight when a Lot quantity is projected to be consumed by demand for the item.
Each Lot Effective Expiry date is prefixed with a dot highlighting the Lot expiration risk.
Red dots indicate that the Lot quantity has expired, and cannot be used to fill demand.
Purple dots indicate that a portion, or all of the Lot quantity is at risk of expiring, based on the projected demand.
Green dots indicate that the Lot quantity is projected to be consumed by demand prior to expiration.
Expiry data is added to the Inquiry page Projection tab
The Projection tab on the Inquiry page displays when Lot quantities - or portions of Lot quantities - are projected to expire.
A red bar on the Projection tab displays when and how much of the Lot quantity is projected to expire.
A column labelled "Exp" in the Table view highlights the dates and quantities for expiring stock. Expiring stock is deducted from the projected opening stock quantity in the projection calculations.
Consolidated expiry data is added to the Projection module page
Projected expiring Lot quantities are converted to values using each item’s average cost, for the filter selections on the Projection page. The Demand tab table view displays the consolidated value of the projected expiring stock.
Expiring stock data fields are selectable in the Report Builder
The Report builder page includes column selections for expired expiring stock and projected potential expiring stock data points.
Add columns for Expired and Expiring stock data from the Stock category on the Column selection tab.
And add columns to include monthly projected monthly potential expiring stock units in a stock projection report.
Lot quantities and expiration dates are integrated into the app calculations
When forecasts and policy strategies change are applied in the app, Lot quantities and expiration dates are integrated into the recommended order and stock status calculations in the app.
