This setting specifies how the app should handle items that are no longer sent from the ERP system.
Use case
Use case
Available options are:
Left alone: Nothing will happen to these items. They will hold the last status as sent from the ERP system and will still be included in replenishment decisions.
Deleted (not recommended): These items will be deleted from the app. All information will be lost. If the items are sent from the ERP system again they will be NEW items.
Marked as obsolete (recommended): These items will remain in the app, but will be marked as obsolete items. They will not come up for replenishment anymore. If the items are sent from the ERP system again the stocking indicator will have to be manually changed in the app, unless the stocking indicator is received from the ERP.
The preferred option is to mark these items as obsolete. This means these items will still appear on reports for analysis.
Explanation
Explanation
To expand on the use case above, below are some reasons why certain settings are preferred and why others should be avoided given your app and data file setup.
The Left Alone option is dangerous because it can leave an inactive product stocked, which means it might be replenished. The only time this could possibly be a good option is if the ERP system is unreliable in terms of the data it provides and may exclude items from the data file that were not meant to be excluded.
The Deleted option can be risky but some businesses like to use it to ensure inactive products are cleared from the app to reduce clutter. The issue with using this option is that the app loses the sales history associated with the deleted products, which means they cannot be used in supersession relationships and overall sales figures will be missing some data. If this option is to be used, be sure to set the Wait X days before items are deleted parameter above 0.
The Obsolete option is recommended. It ensures the app doesn't order inactive items but preserves sales history and allows the old items to contribute to supersession relationships. If an item gets sent from the ERP again after being made obsolete (by way of omitting the item from the previous data file), the stocking indicator will have to be manually changed in the app or updated in the data file if that’s where it’s maintained.
