Creating a Letterhead for Use with Direct Mail

Creating letterhead and it will not upload? Here's how to make an image fast.

One of the simplest ways to personalize a direct mailing is to include your organization's branding on a visible template, like a letterhead. There's an easy way to add a letterhead to a direct mail communication made through Donor Management, which we'll show you how to include below.

Creating a Letterhead

In order to set up a letterhead for a direct mailing, you'll need for your letterhead to be set up as a PNG (which is a specific type of image file).

The easiest way to make your letterhead into a PNG is to first create the letterhead in Microsoft Word (or another word processing tool).  

Once that document appears the way you'd like it to, you'll want to save that file as a .PDF file - NOT a .doc or .word. file.

Converting Your File

You'll next want to convert your .PDF file into a .PNG file. The easiest way to do this is to search for a free, reliable tool online where you can upload a PDF and convert it into a .PNG file - we recommend searching for “PDF to PNG converter.”

Once you've run that PDF file through a converting tool, you should then have an accessible .PNG file that fits the necessary dimensions for a letter (8.5 x 11 inches).

Now that you've generated that .PNG image, you'll want to make sure it's been saved to your device for further use.

Once saved, you'll be able to upload that .PNG letterhead during the “Setup” step of creating a direct mailing.

There is a section labeled “Letterhead/Stationery Image,” where you can click “Browse” and then select the letterhead you'd like to include.

If you're looking to add this letterhead to an existing direct mailing you're looking to re-use or re-send, you can navigate to the “Direct Mail” section from the “Communications” tab in the left-hand navigation, and then select “Setup Options” from the dropdown options available.

That should bring you right back to that initial “Setup” step mentioned above, and let you add the letterhead from there!
