How can I export recipient data from the address book as a file?

Learn how to export active/inactive contacts or groups from your address book as a CSV file, import them correctly into Excel (UTF-8), and understand the meaning of each data column.

You can easily export the data of selected recipients (both active and inactive contacts) or entire recipient groups from your address book. Please follow these steps:

1. Exporting Data from the Address Book

  1. Navigate to your Address Book in the main menu.

  2. Select the desired recipients or groups by checking the respective checkboxes.

  3. Once at least one recipient is selected, a gear icon will appear next to the search field.

  4. Click on the gear icon and select "Export as CSV". The file will then download automatically to your device.

2. Opening and Formatting the CSV File Correctly

Option A: Opening with OpenOffice (Recommended)

For an error-free display, we recommend opening the downloaded CSV file using OpenOffice. From there, you can easily save the document in other formats such as .ods or .xlsx if required.

Option B: Importing into Microsoft Excel

If you prefer to use the file directly in Excel, we recommend a manual data import, as formatting and character encoding can vary when opening the file directly depending on your Excel version:

  1. Open a new, blank workbook in Excel.

  2. Go to the "Data" tab in the top menu bar and select "From Text/CSV". Choose the downloaded CSV file.

  3. A preview window will appear. Under "File Origin", make sure to select "Unicode (UTF-8)" encoding. This ensures that all special characters, line breaks, and umlauts are displayed correctly.

  4. Click on "Load".

  5. Your data will now be cleanly structured into rows and columns. You can save it as a regular Excel workbook (.xlsx) by going to File > Save As.
