Exporting results and setting up templates

Learn how to export search results, create custom templates, and design the appearance of your outputs.

At NewtonOne, we offer flexible export options to help you easily and efficiently utilize the articles found in the archive or current monitoring, tailored to your needs. Whether you need to share data with colleagues, present it in a report, or work with it further, our export tools allow you to customize the output to meet your exact requirements.

Articles found in both the archive and monitoring can be exported. The number displayed on the Export button indicates how many articles you are preparing to export.

For data export, you can choose from predefined templates or create a custom template that best suits your specific requirements. The number of articles to be exported is displayed directly on the Export button. By clicking the arrow on the Export button, you can expand the menu of available templates and simply select the one that best fits your needs. Clicking on the selected template will immediately start the export process.

If you prefer to review or adjust settings before exporting, click directly on the Export button. This will take you to the export preview with additional configuration options. This choice is ideal when you need to modify the content or format of the file before finalizing the export.

Preview and basic export settings

In the right pane, you can select the template, format, and basic export settings. The left pane dynamically adjusts the preview based on your chosen settings.

Note: Changes made here cannot be saved to predefined templates—they are for one-time use only. To save changes, you must create a custom template in Advanced Settings or use the pencil icon when selecting a template (this opens the template editor).

In the Export Preview, you can adjust the design and colors to match your corporate branding. You can also add a logo. Two options are available:

  • Default – Templates styled in the Newton Media design.

  • Custom Design – Export using a saved custom design or modify it here.

Note: You can only have one custom design. Changes to this design will apply to all templates associated with it.

Advanced Export Settings

For more specific export requirements, additional options are available in Advanced Settings, where you can also save custom templates and changes.

Article List - basic settings

  • Export Name – Displayed in the export and used as the filename for the exported document.

  • Template – Choose the desired template.

  • Translation – If your subscription includes translations, you can enable them here.

  • Add Summary – Include custom text that will appear directly in the exported document.

  • Group documents by – Select a criterion for grouping articles (e.g., by media type). You can also adjust the order of media types in the export.

  • Then group by – Choose an additional grouping criterion.

  • Sort documents by – Specify how articles should be sorted within or outside of groupings.

  • Then sort by – Define a secondary sorting criterion.

  • Article List – Drag and drop articles into different categories manually if needed.

Show as (Parameters of the entire output)

  • Overview – Choose whether to include: Headlines only; Headlines with annotations,

    Full articles

  • Enable TOP articles – Includes links to the three most impactful articles at the start of the document.

  • Enable graphs – Displays charts for each media type at the beginning of the document.

  • Add numbered order – Articles will be numbered.

  • List of media type counts – Shows the number of articles by media type at the beginning of the document.

  • Show grouping and sorting – Includes information about grouping and sorting criteria.

  • Ling to login to the app – Displays a link to log in to NewtonOne in the document header.

  • Show group list – Lists the group names and the number of articles in each group.

  • Show article only in first topic – Ensures articles appearing in multiple topics are included only in the first topic (based on the topic order).

Show as (Message parameters)

  • Fulltext – Selecting this option will include the full text of articles in the document.

  • Show preview – The document will contain previews of scanned articles (e.g., TV screenshots).

  • Show scans – Each article will include a scan of its original format (print and online).

  • Title pages scan – The document will include scans of front pages from printed media.

  • Verified transcription – Articles of this type will be included in the document. If deselected, these articles will be excluded from the export.

  • Verified transcription - annotations only – An additional option for validated transcripts, where only annotations are included instead of the full text.

  • Automatic transcription – Articles of this type will be included in the document. If deselected, these articles will be excluded from the export.

  • Automatic transcription - annotation only – An additional option for automated transcripts, where only annotations are included instead of the full text.

  • Show empty groups – Empty topics will be displayed in the annotations.

  • Article source in NewtonOne – Includes a link to the article in NewtonOne.

  • Original internet source – Includes a link to the original URL for web articles.

  • Show list of duplicates in article – Includes information and links to duplicate articles.

Coded data

Topic - The article will include information about the topics it is associated with.

Enable sentiment - The sentiment of the article will be displayed.

Enable important - The article will include a flag indicating that it has been marked as important.

Highlight keywords in text

Show folder list - The article will include a list of tags assigned to it.

Show public note in annotation - Any note you added to the article in NewtonOne will be displayed.

Metadata

Choose which metadata you want to include for articles in the exported document.

Save a custom template

You can save your export settings as a new custom template and reuse it anytime in the future.


Once created, these templates can be used not only for one-time exports but also for regularly scheduled delivery of your articles via Newsmails, just like predefined templates.
