What are Newsmails?
A Newsmail is a regular summary of news from your monitoring topics, functioning similarly to a one-time export but sent automatically on the day and time of your choice.
At NewtonOne, we understand that every user has specific information needs. That’s why we offer extensive customization options for your Newsmails. You can choose the topics that interest you, specify the scope of news using filters (e.g., articles by a specific author), and design the export template to match your preferences. Everything is tailored to meet your individual requirements and make information access as convenient as possible.
How to create a newsmail?
In the Newsmails menu, click the + Add Newsmail button in the top-right corner. This will take you to a simple wizard to guide you through the setup and explain how Newsmails work.
Choose a name for your Newsmail. This name will help you identify it in your list of Newsmails and will also appear in the email subject line and attachment name, unless you choose otherwise in later steps.
If you already have an existing Newsmail and want to pre-fill its settings for the new one, select the Use an Existing Newsmail as a Template option.
By selecting Active now, the Newsmail will start working as soon as you save it. The Inactive status allows you to prepare it and start sending it later. Click Continue to proceed to the next step.
Choose the topic you want the Newsmail to include. You can refine the filtering with additional conditions like media type, article type, author, country, or by using all options available in Advanced Filter (same as in the Search bar).
On the next page, set the frequency and time for the regular summary delivery:
Daily – Sent every day, including weekends and holidays.
Workdays – Sent on workdays only.
Workdays and holidays – Sent on workdays and public holidays.
Weekly – Sent on a selected day of the week, regardless of weekends or holidays.
Monthly – Sent on the first or last day of the month, as per your preference.
Custom – Sent on specific days of the week.
Use the Add Time button to insert the current time. You can modify it directly or choose from a list of hours. Add multiple delivery times if you want to receive updates more than once a day.
At the bottom of the page, select how you want to receive the summary: By e-mail, Through SMS or In mobile app. The Newsmail will always be saved in the web app. Other formats are optional. To add multiple email addresses or phone numbers, separate them with commas or input them one by one.
Other settings part:
Include articles added to the topics today (the number of such articles is displayed in brackets). If unchecked, only new articles added after the Newsmail’s creation will be included.
Change the language of the Newsmail independently of your default user settings. This affects the names of categories, metadata, and descriptions, but does not translate individual articles.
Enter a preferred subject line for the Newsmail in the last step. If left blank, the subject and attachment name will default to the Newsmail's name.
You can include variables in the subject line:
Proměnná | Význam | Příklad |
%%MONITORING_NAME%% | Name of the project | Monitoring name |
%%ARTICLE_COUNT%% | Number of articles included | 23 |
%%DATE%% | Current date YYMMDD | 240819 |
%%YEAR%% | Current year | 2024 |
%%MONTH%% | Current month | 08 |
%%DAY%% | Current day | 19 |
%%YEAR_TWO_DIGITS%% | Current year - two digits | 24 |
%%DATE_DASH%% | Date YY-MM-DD | 24-08-19 |
%%TIME%% | Time HH-MM | 13-00 |
You can add text or characters to these variables.
For example:
Media monitoring ZOO - %%ARTICLE_COUNT%%, %%DATE%%.%%MONTH%%.
Will appear as:
Media monitoring ZOO - 23, 19.8.
Choose the template for the Newsmail. If none of the prepared templates meet your needs, click the pencil icon to access the template editor.
Click Create newsmail to complete the setup. Your newsmail will now deliver summaries at the specified times unless you decide to deactivate it in the Newsmail management settings.
