Overview
Create appointment types
Set up your appointment types to be available to New patients only, Existing patients only, or all patients in a few quick steps.
1. Navigate to Online booking, then Appointment types.
Click Online booking in the left sidebar under Scheduling; then click Appointment types in the top-right.
2. Click + Add appointment type.
Click + Add appointment type to configure your appointment types for New patients and Existing patients.
3. Edit the appointment type details.
Edit the appointment type details, including:
Name (this is what patients will see)
Duration
Available to book online? toggle
Patient type limit which patients can choose this appointment type when they are booking an appointment
Allow patient to cancel? toggle - This gives patients the option to cancel their appointments from the Reminder message
Insertion rules allow you to add specific procedure codes or Appointment/Visit Types to the appointment, which appear when the appointment is inserted into your practice management system. This is optional for online booking.
4. Click + Add rule to choose a Code type and/or specific procedure codes.
You can add Insertion rules to map this appointment type to specific procedure codes in your health record system.
5. Click Save.
Click Save to add the appointment type.
6. Click Preview online booking.
Click Preview online booking to see how the appointments appear for New vs Returning patients.
7. Repeat for each appointment type.
Repeat for each appointment you would like to have available to be scheduled online.
Create mapping rules
Create mapping rules to so that NexHealth can map appointments in your health record system to NexHealth appointment types. This makes it so you can send different communication to patients with specific appointment types.
This is only necessary if you are differentiating communications (Recalls, Reviews, Campaigns, Templates, and Forms) by appointment type.
1. Gear icon → Settings → Appointment types → Mapping rules
Navigate to Settings --> Appointment types. You can find Mapping rules at the top. Here we will add the procedure codes, visit type, or provider NexHealth will look for on appointments in your health record system to tag appointments as this type.
2. Click on + New rule.
If you already have any rules set up, you can find this button at the bottom.
3. Select a condition from the If dropdown.
Depending on your practice management system, you will see several options. You can choose to set up your messaging by Vist Type, Service Type, Procedure code(s), operatory, or provider. You will want to pick identifier that allows NexHealth to recognize appointments of a specific type. For example Adult Prophys will always have procedure code: D1110.
4. Select an option from the any of dropdown.
Depending on your if, the options here may be procedure codes, service types, providers, etc.
5. + Add condition to add another condition.
Click + Add condition if you need multiple conditions for the rule.
6. Select a result from then appointment type is.
Select from the then appointment type is dropdown to the right to assign an Appointment type which you’ve created. This automatically assigns all appointments scheduled in your health record system with matching procedure code(s) (or Visit Type, Service Type, operatory, or provider) to this appointment type.
7. At the top of the page, Save changes.
Save changes to make your mapping rules active.
