Stage Approvals allow you to require approval from Pipeline Reviews and/or Admins when moving Opportunities into specific Stages in your Pipeline. This is commonly helpful for teams that have Gate Review and data requirements before committing to pursue Opportunities further.
Enabling Stage Approvals
Stage Approvals require Workspace Permissions and Stage Approval Workflows to be enabled on a Pipeline. Admins can turn these settings on by:
Clicking "User Access" in the top right of a Pipeline
Turning on Pipeline Permission Management and Require Stage Transition Approvals
Assigning Pipeline permissions for users, including Admins, Stage Tranition Approvers, Editors, and Views
Warning: enabling Permission Management will remove User access to the Pipeline! Users have "None" permission roles by default; each User must be assigned an appropriate Pipeline permission Role.
Note: Admins and Stage Transition Approvers will receive Approval requests; only Pipeline Admins can customize fields, Stages, etc.
Configuring Stages to Require Approvals
With Pipeline Approval Workflows enabled, Admins can now configure Stages to require Approvals when moving Opportunities into a Stage. To configure Stages:
Click on a Stage name
Check "Approval Required"
Save Changes
Stage Approval Requests and Workflows
When non-Admins/StageApprover users move an Opportunity into the Stage, they will kick off the Approval workflow.
Note: Admins and Stage Approvers can continue to drag-and-drop Opportunities as usual
First, a user moves an Opportunity into a Stage that requires Approval. Then they create a Request to move the Opportunity into the Stage in question.
The pending Request will be visible on the Opportunity, and an email will be sent to Admins and Approvers in the Pipeline.
Admins and Approvers Reviewing Requests
Admins and Approvers can now view, reject, approve, comment on, or void a request. They can take these actions by clicking on the pending request/email link and taking action.
Any reasons or comments will also be added to the Opportunity logs. These can also be viewed from the Inbox page.
