Win Themes
Overview
The Win Themes feature allows you to define and manage the key differentiators that position your organization as the best choice for the customer. Win Themes capture your strengths, experience, and unique value proposition, ensuring consistent messaging throughout the proposal.
Win Themes inform downstream proposal content, including the Proposal Outline and Pink Team Draft.
Once Kickoff Package has generated your proposal components, select Win Themes from the left-hand navigation panel to review and refine them.
How are Win Themes Created?
Win Themes are the second item NextStage AI builds as part of the Kickoff Package workflow, generated automatically right after the Compliance Matrix.
Once generated:
Review the AI-generated Win Themes
Refine messaging to align with your strategy
Add or remove themes as needed
Check Win Themes as Reviewed to move on to the next item in Kickoff Package
Why Win Themes Matter
Win Themes ensure your proposal clearly communicates your organization's strategic advantages.
They help teams:
Capture and preserve key differentiators
Align messaging with customer mission and priorities
Ensure consistency across all proposal sections
Strengthen proposal competitiveness
Reinforce value throughout the proposal lifecycle
Effective Win Themes focus on customer benefits, measurable outcomes, and mission alignment.
Win Theme Structure
Each Win Theme card includes:
Title: the name of the differentiator
AI Generated tag, shown on themes NextStage produced automatically
Description: how your organization delivers value and supports the customer's mission
Strategic Rationale: an italicized explanation tying the theme back to specific RFP requirements (e.g., SOW sections) and to relevant content in your Company Profile, showing why the theme is credible and where it comes from
Created by and date/time stamp
Add an Additional Win Theme
After Kickoff Package generates your Win Themes, you can add supplementary themes of your own. Click Add win theme at the top right of the page (or + Add win theme at the bottom of the left-hand page navigation).
Enter the following:
Title Provide a clear and concise name for the differentiator.
Description Describe how your organization delivers value and supports the customer's mission. Focus on outcomes, benefits, and measurable impact.
Tags (optional) Use tags to organize and filter Win Themes by category, such as:
Staffing
Technical capability
Past performance
Innovation
Cloud
Click Add Win Theme to save.
Manage and Edit Win Themes
Saved Win Themes appear in a scrollable list on the page, with a matching table of contents in the left-hand "On this page" navigation for quick jumping between themes.
Each Win Theme has two distinct ways to make changes:
Edit: opens the theme in a rich text editor where you can update the title and description directly. Formatting options include bold, italic, underline, headings (H1-H3), bulleted and numbered lists, text alignment, and links.
Edit with AI: opens a Nexus AI chat box on the right side of your screen, scoped to that specific Win Theme. Nexus AI automatically proposes a refinement of the theme. You can upload documents or add references in the chat to further inform the refinement. Once you're satisfied, prompt Nexus AI to update the Win Theme, and it will automate the update for you.
Each Win Theme also has a Status:
Published: the theme is finalized and will be used in the Pink Team Draft
Draft: the theme is still in progress and will not yet be pulled into the Pink Team Draft
Archived: the theme is not used in the Pink Team Draft, but stays available in the system as a reference point if you want to revisit or reuse it later
Once you've made your edits and selected the correct Status, click Save to apply the changes, or Cancel to discard them.
Users also have the option to delete a Win Theme if they choose, by clicking the trash (delete) icon.
Win Themes can be updated at any time during proposal development.
Marking Win Themes as Reviewed
Once you're satisfied with all of your Win Themes, check the Reviewed box at the top of the page. If you're working through Kickoff Package, move to the next item (Key Personnel, Past Performance, Technical Solution, or Proposal Outline) by selecting it in the left-hand navigation panel, where a green dot marks each item that's already been reviewed.
