How to manage Opportunity Tasks and templates

The Tasks tab allows you to manage capture and proposal activities associated with an Opportunity. Tasks are organized by pipeline stage and help teams track progress, assign responsibility, and ensure critical capture milestones are completed.

Tasks provide structure and accountability throughout the capture lifecycle, from early identification through proposal submission and award.


Accessing Opportunity Tasks

To view and manage tasks:

  1. Navigate to your Pipeline

  2. Click on the Opportunity

  3. Select the Tasks tab

Tasks are organized by pipeline stage, such as:

  • Identification

  • Qualification

  • Pursuit

  • Capture

  • Proposal

  • Awaiting Award

Each stage can contain multiple tasks aligned with your capture process.


Updating Tasks

You can update tasks directly within the Tasks tab.

To update a task:

  • Click the Status field to change the task status

  • Assign the task to a team member

  • Set or update the due date

Available task statuses include:

  • Not Started

  • In Progress

  • Complete

When a task is assigned with a due date, the assigned team member will receive a calendar reminder to help ensure timely completion.

Updating task status provides visibility into capture progress and helps teams stay aligned.


Viewing Task Details and Adding Subtasks

Click on a task name to open the Task Details panel.

From this view, you can:

  • View task status

  • Assign or change the assignee

  • Update due dates

  • Associate contacts or organizations

  • Add subtasks

To add a subtask:

  1. Click on the task name

  2. Click Add Subtask

Subtasks allow you to break larger tasks into smaller, manageable steps.


Adding New Tasks

You can add additional tasks to any stage.

To add a task:

  1. Navigate to the desired stage

  2. Click Add Task

  3. Enter the task name and details

  4. Assign the task as needed

Tasks can be customized to match your organization's capture and proposal workflow.


Creating and Using Task Templates (Admin Only)

Administrators can create Task Templates to standardize capture workflows across all Opportunities.

To save a Task Template:

  1. Configure tasks across the pipeline stages

  2. Click Save Task Template at the bottom of the Tasks tab

  3. Click Save Template to confirm

Once saved, the Task Template will automatically apply to all new Opportunities created in that pipeline.

This ensures consistent capture processes and reduces manual task setup.
