The Notes tab allows you to track calls, meetings, emails, and important updates related to an Opportunity. Notes provide a centralized record of customer interactions, teaming discussions, and internal capture activities so your entire team stays informed.
Notes can also be associated with contacts and automatically created from emails.
Accessing the Notes Tab
To add or view notes:
Navigate to your Pipeline
Click on the Opportunity you want to update
Select the Notes tab
This will display all notes and activity associated with the Opportunity.
Adding a New Note
To create a new note:
Click the Add Note button
Select the Type of note (for example: Call, Meeting, or General Note)
Enter your note in the text editor
You can include:
Meeting summaries
Customer discussions
Capture strategy notes
Action items
Follow-up tasks
The editor supports formatting such as bold text, bullet points, and headings to help organize your notes.
Once complete, click Add Note to save.
Associating Contacts with Notes
You can associate one or more contacts with each note using the Contacts dropdown.
This allows you to:
Link notes to specific government or industry contacts
Track conversations with teaming partners
View notes directly from the contact’s profile
To associate contacts:
Click the Contacts dropdown
Select one or more contacts
Save the note
Associating contacts ensures that communication history is accessible from both the Opportunity and Contact records.
For example, if you have a call with multiple teaming partners, you can associate each participant so the note appears in each of their contact records.
Creating Notes from Email
NextStage allows you to create notes automatically from email conversations.
Each Opportunity includes a unique Bcc email address, located near the top of the Opportunity record.
To create a note from an email:
Copy the Opportunity’s Bcc email address
Add the address to the Bcc field of your email
Send the email
NextStage will automatically create a note using the email content.
This allows you to track:
Customer communications
Teaming partner discussions
Internal capture coordination

Below is an example of a note created automatically from an email:
The note will include:
Email sender
Date and time
Subject line
Email body content
This ensures your Opportunity record maintains a complete history of communications.
