Enable Task Order Management for Outlook (Microsoft 365)

How to automatically send email task orders from Outlook to NextStage.

When you send an email to NextStage's Email Task Order Management system, we'll create a searchable opportunity that can sync with opportunities in your pipeline. You can learn more about the product here. This article describes how to set up forwarding rules in Outlook to send emails to NextStage.

  1. Verify your email's domain

  3. Enable Forwarding to External Domains in the Exchange Admin Center

  4. Create forwarding rules for applicable task order sources

Prerequisites:

  • Enable NextStage Task Order Management by reaching out over live chat or email.

1. Verify your email's domain

NextStage requires DKIM verification to verify that task order emails are from a trusted mail server and domain. You can view these settings by clicking "View Email Sources" in the Task Order source in Search. At first, you'll notice that there are no trusted domains listed. To get your domain verified, send a dummy email to the "BCC email" of any opportunity. When NextStage received this email, it will add your domain to the allowed list of domains.

After about a minute, you can refresh the page and check to see if your domain shows up, it should look something like yourdomain.onmicrosoft.com.

2. Enable Automatic External Forwarding in Microsoft 365 Defender

  1. Log in to your Microsoft 365 Defender and choose Threat management > Policy > Anti-spam or head directly to the Anti-spam settings page here: https://protection.office.com/antispam. Note that the policies you see in your own admin may differ from those shown here, as these are only the default policies.

  2. Click on the Anti-spam outbound policy (Default) and scroll to click the Edit protection settings link at the bottom of the sidebar.

  3. Under Forwarding Rules > Automatic Forwarding Rules. Choose: On - Forwarding is enabled.

3. Enable Forwarding to External Domains in the Exchange Admin Center

    • Add a new remote domain with the name: NextStage and the Remote domain: nextstage.ai

    • Complete the rest of the wizard as shown in the screenshots:

    • WARNING: Make sure to choose "Never" on the "Use rich-text format" setting.

4. Set up forwarding rules

Next, we'll create rules to forward emails to their corresponding NextStage Task Order Management email address. You can find the email addresses for your workspace by clicking "View Email Sources" when you've selected Task Orders in the Search Page.

In Outlook Web, click on the settings menu.

At the bottom of the settings quick menu, click on "View all Outlook Settings".

From here, you can create new rules to forward incoming task orders to NextStage.

If you're setting this up for the first time, click on "Add new rule". We recommend the following settings to start. You can tweak the conditions to account for any differences in how you receive task order notifications.

Seaport

    • Forward to: the corresponding Seaport email in NextStage

SEWP

  • Name: SEWP NextStage Task Order Forwarding Rule

  • Condition(s):

    • Subject includes: SEWP

  • Action(s):

    • Forward to: the corresponding Sewp email in NextStage
