Upload customers on an ad hoc schedule

Uploading customers on an ad hoc schedule, allow you to manually import customer details in bulk for one‑off Direct Debit collections.

An ad hoc schedule allows payments to be manually added to the Direct Debit contract for collection.

📌Note: The system validates uploaded files differently depending on their size. Smaller files are validated immediately, while larger files are processed through a background job to ensure accurate and efficient validation.

For larger files, a progress bar will appear so you can track validation in real time. A message will also advise that you may navigate away from the page while validation continues. However, a warning will be displayed stating: 'At this stage, your file has not been submitted yet!'

📌Note: You also have the option to create your own template.


Upload customers on an ad hoc schedule

  1. Click the Direct Debits tab on the left hand side.

  2. Click the File Upload tab.

  3. Select Manage Templates on the right hand side.

  4. From the template list, select System New Customers AdHoc or a custom one.

  5. Click the Download icon and fill in the spreadsheet with your customers details.

  6. Save the file in CSV or XLSX format.

  7. Select the checkbox next to the template you want to use.

  8. Click Upload with Selected to upload your completed file.

  9. Under Template, ensure System New Customers AdHoc is selected.

  10. Select Click to upload or drag and drop to upload your saved file.

  11. Click Upload File.

  12. Once the file validates successfully, click Submit this file.

If any validation errors occur while uploading your file, you’ll need to correct the errors before continuing.
