Amend or delete ad hoc payments in bulk

Amend or delete pending ad hoc payments in bulk using the File Upload tab, allowing you to quickly update or remove multiple payments at once.

When you upload a new file using the System Update Payments template, the following rules apply:

  • If a payment with a value is uploaded for a contract on a date where a payment already exists, the existing payment is overwritten.

  • If a £0.00 payment is uploaded for a contract on a date where a payment already exists, the existing payment is deleted and will not be collected.

📌Note: If either more than one payment or no payment exists for the contract on the same date, a validation error will be raised.

📌Note: For files containing more than 100,000 payment rows, please allow up to one hour between upload and submission for processing to complete.

📌Note: Use the Date Calculator to ensure the updates are made before payments are sent to the bank.


Download the Update Payments template

  1. Click on the Direct Debits tab on the left hand side.

  2. Click the File Upload tab.

  3. Select Manage Templates on the right hand side.

  4. From the template list, select System Update Payments or a custom one.

  5. Click the Download icon and fill in the spreadsheet with your customers details:

    • DirectDebitRef – The Direct Debit reference for the contract used to collect the payment. This may be different if you are using a custom template.

    • Amount – The payment amount required, for example 4.99.

    • DueDate – The date of the payment being updated, in DD/MM/YYYY format, for example 01/03/2023.

    • Comment – Any notes you would like to store in the database about this payment.

  6. Save the file in CSV or XLSX format.


Upload the file

Once you have downloaded and completed the Update Payments template and are ready to upload the spreadsheet into Access PaySuite, please follow the steps below:

  1. Click on the Direct Debits tab on the left hand side.

  2. Select the File Upload tab.

  3. Select the checkbox next to the template you want to use.

  4. Click Upload with Selected to upload your completed file.

  5. Under Template, ensure System Update Payments is selected.

  6. Select Click to upload or drag and drop to upload your saved file.

  7. Click Upload File.

  8. Once the file validates successfully, click Submit this file.

If any validation errors occur while uploading your file, you’ll need to correct the errors before continuing.

We recommend downloading a Future Payments Due report to confirm that the submission is correct.
