These occur when uploaded data does not meet the required length, format or character rules for specific fields, such as entering too many or too few characters, using non‑numeric values in numeric‑only fields or including spaces or symbols where they are not allowed.
Customer upload fix: Account Numbers
Error message - AccountNumber can only be 8 characters long and only numbers.
There must be exactly eight numbers for each entry in column Q.
To ensure any preceding zeros are recognised, you will need to adjust the number format for the cells in column Q.
To do this, you will need to right‑click the column header (Q) and select Format Cells from the menu. Then, select CUSTOM and add 8 0's into the TYPE field, as per the screenshot below:
📌Note: If you reopen the file and make any edits before uploading it to Access PaySuite, you’ll need to reapply this custom format to column Q before saving and uploading again.
Customer upload fix: Sort Codes
Error message - BankSortCode can only be 6 characters long and only numbers.
There must be exactly six numbers for each entry in column R.
To ensure any preceding zeros are recognised, you'll need to adjust the number format for the cells in column R.
To do this you'll need to right click the column header (R) and select Format Cells from the menu. Then select CUSTOM and add 6 0s into the TYPE field, as per the screenshot below:

Customer upload fix: Postcode too long
Error message - The provided Post code is too long. A maximum of 8 characters is acceptable.
The postcode must be a valid UK postcode in one of these formats:
99 9AA
AA99 9AA
AA9A 9AA
In these formats, A represents a capital letter A to Z and 9 represents a number from 0 to 9.
Before re-uploading, remove any extra spaces in the middle or at the end and make sure the postcode matches the address and follows one of the formats above.
Customer upload fix: Direct Debit reference length
Error message - The DD Reference should have 6 characters min and 18 characters max.
This error relates to column AH in the upload file. Ensure the custom Direct Debit reference entered here is between six and eighteen characters as this is a BACS requirement.
If the reference includes preceding zeros, ensure the CSV file is formatted to include these.
