This guide describes how to create onboarding forms which can easily be sent to candidates to sign

Overview

Super Admins have the ability to create electronic forms through the Onboarding module in Nimble. In this tutorial, users will learn how to create an electronic form template through Nimble.

Creating a form

As a Super Admin, navigate to the Settings page in the dropdown menu under your name in the top right corner of the site.

Scroll to the bottom of the page, where you will see a section called “Candidate Forms” and click the green “+ Add Form” button.

Name your form (example: Offer Letter)

Upload the file template you would like to use to create an electronic form. Note: When creating the file, be sure to leave blank space for adding text fields, dates and signatures to the form.

Once you've selected your file, use the drop downs to select who you’d like to sign the form and the order in which you want them to sign.

Next, draft the candidate instructions that you’d like the candidate to review before completing the form. These instructions will be visible on the candidate’s dashboard when they click the link to complete this form.

Select which users the form will be visible to once signed and returned. Note that, if you wish for a District Admin to be able to send a form, they must be selected in this section. For other user types, this selection will grant visibility, but not the ability to send forms. Remember to click the “add” button to save the changes to each user’s access. Then click Next Step.

Review the HelloSign instructions and then click the “Got it." button to continue.

Drag the appropriate fields into your template to customize the signer experience.

For a given field, you can determine whether it will be filled out by the signers or auto-populated by the Nimble system. You can also determine who fills out the field by clicking the drop down under "Assigned to" on the right side.

If you select Sender, the field will be auto-populated by the Nimble system before sending, using custom profile fields or default fields from the candidate's profile. If you select Candidate, the space will be left blank for the candidate to fill out upon signing. You can also add any other signer as the assignee for a given field.

If you select Sender, you should then select which field from Nimble you would like to pull this data from. Please note: If you have created custom profile fields in Nimble, you will also be able to select these under the text box drop-downs.

If you select one of the signers, you can add validation and a label to the field in order to make it clear how you want the signer to populate the information.

Once you are done, you should review the form and then press “continue” to save the changes.

Once the Form template has been created in settings, you can send the form via a candidate’s quick view or full profile or add the form to a packet.
