Overview

Users have the ability to make certain distinctions in the job application process for internal versus external candidates. You can determine which jobs candidates can see and apply for, as well as which application sections, attachments and short answer questions are required to apply for that job. You also have the ability to mark a candidate as internal or external on their quick view or full profile. Lastly, all users have the ability to filter by internal/external candidates on the Candidate list and internal/external jobs on the Jobs page.

Job visibility

When creating a job posting in Nimble, you can determine whether you want the job to be visible to internal candidates only permanently or until a certain date.

To create an internal job posting, navigate to the Jobs tab and create or edit a job and select the Internal Applicants Only button under the “Job Visible To” section.

Once you make the posting internal you will see a note displaying your internal jobs password. This password will need to be shared with your internal employees in order for them to view the internal only jobs on your job board.

By default, the employee password field will only show on your job board when you have active, internal jobs posted or when you have certain jobs with different application experience for internal transfers.

Customized application questions & attachments

To specify the application experience for internal candidates, navigate to the Application Sections section toward the bottom of the page. Simply click the toggle to activate the options for internal candidates.

Once activated, you will see an internal section with Visible and Required columns. From there, you can differentiate the application experience by checking the boxes for each section you want to require or make visible on the application for internal versus external candidates.

When customizing your job posting, you have the option to select question sets from this drop down list here under the Questions for Candidates section. You can customize question sets in settings prior to creating your jobs. You can also create and include custom questions directly from the job posting.

Once you begin adding different questions to the application you will be prompted to adjust the question visibility and requirements for internal and external candidates.

Viewing internal candidates

Users can quickly identify candidates as internal on the candidate list by looking for the “i” icon on the line item.

As a Super or District Admin, you also have the ability to change a candidate from internal to external and vice versa via their quick view or full profile. To do so, navigate to the candidate’s quick view (or full profile) and click the Internal/External dropdown to select the correct state.

Filters

All users have the ability to filter the candidate list by internal and external state. To do so, navigate to the candidate list and expand the Internal/External filter on the left hand side to specify whether you’d like to see internal candidates only, external candidates only or both.

Users can also filter for jobs marked as internal only or jobs that are available for all applicants. To do so, navigate to the Jobs page and expand the Internal/External job filter on the left hand side. When internal is selected, this includes the jobs marked as internal only at the top of the job edit page. When All applicants is selected, this includes any job that is not currently restricted to internal applicants as mentioned above. If the internal only deadline has passed and the job is currently visible to external candidates, then the job will show under all applicants selection when the filter is on.
