Reviewing a candidate's application

There are a couple different ways you can review a candidate application or profile in Nimble. In this guide we will walk you through the most common ways to screen and take action on those candidates. To start, click the word candidates in the top navigation menu. Here you’ll see two additional tabs, candidates view all and candidates by posting.

If you click candidates view all, you’ll see all candidates who have applied to all active positions within Nimble. This page is most useful when searching for a specific candidate, or when looking for certain types of talent within your existing pools. There are lots of different filter options here but the two most important filters include candidate and job statuses.

Candidate status filters

The candidate status filters based on the candidate’s application status. When this filter is active, any candidate with one or more district application statuses matching the filters selected will show up. Please note that archived applications are filtered out of the list by default. If you’re searching for a candidate who has only archived applications, you can click select all to enable all statuses.

Job status filters

The Job status filter is based on the status of the actual job. By default, the list is filtered to show applications for active jobs only. If you’d like to see applications for archived jobs, you can enable archived jobs in the filter. Keep in mind that when a job is archived, candidates are not necessarily archived, so you can see where they were in the process at the point when that job was archived.

Keyword search

You can also use the keyword search to search for a candidate by name or by keywords found in their application or resume. If you find a particular candidate who you’d like to consider for an additional role, you can also use the drop down next to their name to copy their application directly into the new role, rather than requiring them to submit an application from scratch.

Candidate statuses

When viewing candidates on the candidates > view all page, the topline status next to the candidate’s name will be their candidate-level status — meaning their most advanced active status across all of their district applications.

Applications per candidate

To view the full list of applications associated with this candidate you can expand the line item by double clicking on it. You can bulk change candidate statuses from this list by clicking the checkbox next to their name to select all of their applications or by checking the checkbox one application at a time for a single candidate or multiple candidates.

Bulk status change

Once a selection has been made you will see a button at the bottom of the page that says Update Status. Clicking the button will prompt a dropdown that will show you the list of applicable statuses. You will have the option to move applications to statuses that are common across all applications selected, with the exception of post-hiring pool active statuses (since those have school applications that may also need to be moved individually).

Emailing candidates

If there is an email template associated with the status you will be prompted to send the email to the group of applicants selected. However you have the ability to skip the email and continue with status change as well.

Candidates by posting

You can also view candidates for specific jobs by selecting candidates, by posting. This is where you will likely spend the majority of your screening time. Once you click into a job you’ll see all active applicants that have applied for this position, as well as the status for each of these applicants.

When you’re here in candidates > by posting, the application status you see next to the candidate’s name is their district-level status for this job. The district application status is the most advanced active status across all schools.

Bulk actions

You can also take bulk action from this page, like sending bulk email, exporting candidate data or making bulk status changes.

Candidate statuses

From the candidates > by posting page you can begin screening candidates for this job by clicking into a quick view of their applications. The quick view is a preview of the candidate information, basically everything the candidate filled out in their application.

In the top menu, you can take quick actions like emailing candidates, downloading their profile, or copying their application.

You can also see whether the candidate is an internal transfer or external applicant, which Super Admin can adjust if needed.

Changing a candidate's status

You’ll also see the candidate status in the top section and you can use this drop down to change the candidate’s status. Just like bulk status changes, if there is a template associated with the status in settings then you will be prompted to send (or skip) an email to the candidate.

From the quick view, you can see how many jobs the candidate has applied for, and if you hover, you’ll see the specific jobs and the candidate’s district-level application statuses for those jobs.

Years of experience and credential information added to the application will show just below that section. Note that years of experience is a calculated field based on the work history section of the candidate’s application, so if you don’t enable that section in the application process, you will need to refer to the resume for accurate information on years of experience.

You also have the ability to add candidate tags to a candidate's profile, as well as view, upload and download attachments. If you receive something by email and you want to add it to the candidate’s profile you can do so by clicking the upload icon.

Internal notes

In the internal notes section, you can take note of any actions or important information about this candidate that you want internal stakeholders to see. If you want to tag someone else on the team you can @mention someone, which will trigger an email notification to that person inviting them to view your note. It’s important to call out that all users with access to this candidate will see these notes, which is a great way to keep other users engaged and updated in the process.

Onboarding

If you have access to the Onboarding module, you’ll also see custom fields and tasks. Finally, at the bottom, you have the application information, which allows you to dig into any custom questions, preferences, or other information you collected on the application.

As mentioned, this is a quick view or preview of the full application information. You can click on the candidate’s name or the green button at the top to view the candidate’s full application.

From there you’ll see two additional important pieces of information including their professional references and the full activity feed associated with a candidate, which logs all emails and status changes that have occurred throughout the process.
