Creating and tracking your candidate portfolio

Super and District Admin have the ability to assign applications to themselves and other Super/District Admin team members. These assignments can be done on any job posting and can be assigned at either district level or the school level. This allows users to spend less time sorting through candidates they are not responsible for and to keep track of only the specific candidates and applications they need to take action on. This makes it easier to anticipate and plan for upcoming interviews, references, and onboarding tasks.

Assigning an admin via the job posting page

To select an assignee, navigate to the internal jobs page and either create a new job or edit an existing posting.

After specifying the number of school-based or district vacancies for the job posting, scroll down to the Assigned to section. Click the Select assignees dropdown, use the checkboxes to choose the assignees for the posting, and click anywhere outside of the dropdown to save your changes. We recommend assigning HR or onboarding partners (by school or job type) early on in order to allow those users access to their candidate portfolio from the first step of the process.

For school-based vacancies, users will also be able to assign individual schools or school groups to a specific user portfolio by clicking the Add Schools dropdown and selecting groups or individual school locations. You can use the Add assignee button to add as many assignee/school combinations as you need to capture the full range of responsibilities.

Users can be assigned to a posting whether a school they are responsible for is has an existing vacancy or not. This way, if the posting gets updated to include their school later on, that school will be in their portfolio without any further action.

Once a user has been assigned to a job via the job edit page, their name will also show under a candidate's name on their quick view or full profile. If there are multiple assignees associated with a job then the user can click the down chevron next the the Assignees name to see the other assignees associated with this posting.

Filtering by assignee

Users can narrow the candidate list by filtering for their specific portfolios or those of a team member. For example, you may want to filter the list to include both your portfolio and a colleague's portfolio, allowing you to assist with their outstanding tasks while they are out of the office.

To make a selection, users can check the box next to the name of the admin one by one or by clicking the “Select All” link above the list of users in the Assigned to filter section. Users can also remove all selection one by one, or by clicking “Clear All” above each filter in the list.

Once the selection has been made, the list of candidates will only include candidates that have an application in the selected assignees' portfolio.
