Sending and Receiving Issues Between Teams

When an Issue needs another team's input, send it to that team, keep it in view, and recall it whenever you need it back.

How to Send, Receive, and Recall Issues Between Teams in Ninety

When an Issue needs input from another team, you can send it to that team without losing sight of it. Owners, Admins, Coaches, Managers, and Team Members can send a Short-Term Issue to another team, including a team they aren't a member of. The Issue stays on your team's Issues page in a separate list, the receiving team works through it, and either team can return it. Observers can view sent and received Issues but can't send, recall, or return them.

Which Issues you can send

You can send an Issue to another team when all of the following are true:

  • It's a Short-Term Issue. Long-Term Issues can't be sent, so move the Issue to Short-Term first if it needs another team's input.

  • It isn't completed or archived.

  • You're viewing it on the team that owns it, and your role is Owner, Admin, Coach, Manager, or Team Member.

  • It isn't already with another team.

How to send an Issue to another team

Sending an Issue gives another team access to work on it while your team keeps visibility. To send an Issue:

  1. Click Issues in the left navigation and select your team from the Team dropdown.

  2. Click the Issue to open its details panel.

  3. Click the paper airplane (send) icon at the top of the panel. You can also click the ellipsis (…) in the panel and select Send to Another Team.

  4. In the Send to another team dialog, select the receiving team from the Team dropdown.

  5. Optional: add a Comment with background the other team should know.

  6. Click Send.

The Issue moves to a list called Issues Sent to Other Teams on your team's Issues page, and Ninety adds a comment to the Issue recording which team it was sent to. The receiving team sees it under Issues Received from Other Teams.

What each team can do while the Issue is away

Both teams can open the Issue and add comments while it's with the receiving team. A few actions are paused until the Issue comes back:

  • Nobody can mark the Issue complete. The checkbox shows "Issue is with another team."

  • The sending team can't archive, delete, merge, or make the Issue Long-Term.

  • The receiving team can't change the Issue's team, archive it, or delete it.

How to recall an Issue you sent

Recalling brings a sent Issue back to your team before the receiving team returns it. Owners, Admins, Coaches, Managers, and Team Members on the sending team can recall an Issue. To recall an Issue:

  1. On your team's Issues page, expand Issues Sent to Other Teams.

  2. Find the Issue and click the recall icon at the end of its row (tooltip: Recall Issue from other team).

The Issue returns to your team immediately and leaves the receiving team's list. Ninety adds a comment recording the recall.

How to receive and send back an Issue

Issues sent to your team appear under Issues Received from Other Teams, above your team's Issues list. Owners, Admins, Coaches, Managers, and Team Members on the receiving team can work on the Issue and send it back. To work through and return an Issue:

  1. Open the Issue to see what the sending team is asking.

  2. Work through it with IDS® (Identify, Discuss, and Solve) in your Level 10 Meeting® or outside the meeting.

  3. Add a comment that explains what your team decided. Send Back doesn't ask for a note, so the comment is where the sending team will find your answer.

  4. Click the send icon at the end of the Issue's row (tooltip: Send back to original team), or open the Issue, click the ellipsis (…), and select Send Back.

The Issue returns to the sending team with all comments, and Ninety adds a comment recording the return. The sending team can then complete it.

Troubleshooting

I don't see Send to Another Team or the send icon.

Check the following:

  1. The Issue is Short-Term. Long-Term Issues can't be sent.

  2. The Issue isn't completed or archived.

  3. You're viewing the team that owns the Issue in the Team dropdown.

  4. Your role isn't Observer.

If all four are true and the option still doesn't appear, contact support.

I can't find the recall icon.

Expand Issues Sent to Other Teams on the sending team's Issues page. The recall icon is at the end of the Issue's row. Observers don't see it. If the Issue isn't in that list, the receiving team may already have sent it back.

I can't mark a sent Issue complete.

Issues can't be completed while they're with another team. Recall the Issue, or ask the receiving team to send it back, then complete it.
