How to use the Agenda Module?

Agenda provides comprehensive calendar, 1:1 & group-meeting scheduling features with two-way sync to Outlook Calendar, enabling notaries to manage appointments centrally with automatic synchronization across all devices and platforms.

Step-by-step instructions

First-Time Setup

  1. Navigate to Settings > Accounts

  2. Choose calendar provider: Google Calendar, Microsoft Outlook, Webex, etc. !!

  3. System redirected back to Nora.Legal after authorization

  4. Automatic initial sync fetches existing calendars and events (30 days forward)

  5. Connected calendars appear in Agenda interface

Daily usage

  1. Navigate to Agenda from main navigation

  2. View calendar with all events from Nora.Legal and synced external calendars

  3. Create events in Nora.Legal - automatically sync to Google/Outlook

  4. Edit events in either platform - changes sync bidirectionally (last write wins)

  5. Delete events in either platform - removal syncs both ways

  6. Manual sync: Click "Sync Calendar" button anytime for immediate refresh

  7. Automatic sync: Background sync every 15 minutes maintains synchronization

  8. Sync status: Visual indicators show synced/failed/pending status per event

Multi-Account Support

  1. Can connect multiple Google accounts or multiple Microsoft accounts

  2. All connected calendars appear in unified Agenda view

  3. Each account syncs independently

  4. Select target calendar when creating new events

How to create a new individual event in the calendar?

Creating local events in Nora.Legal Agenda with automatic outbound synchronization to Google Calendar or Microsoft Outlook ensures all meeting details (title, date, time, attendees, location, meeting links) appear across all platforms simultaneously.

  1. Navigate to Agenda module

  2. Click "New Event" button (or double-click time slot in calendar view)

  3. Fill event details in creation form:

    • Title: Enter meeting name (e.g., "Property Sale Signing - Dupont Estate")

    • Date: Select meeting date from calendar picker

    • Time: Set start time (e.g., 14:00) and end time (e.g., 15:30)

    • Location: Enter location:

      • "Office" for in-person at your office

      • "Online" for video meetings

      • Custom address for external locations

    • Attendees: Add participant email addresses (internal team members or external clients)

    • Meeting Link: Paste Zoom, Teams, or Google Meet URL (optional)

    • Notes: Add agenda items, preparation instructions, or relevant details

  4. Click "Save" button

  5. Event appears in Nora.Legal Agenda calendar view

  6. Event also appears in Google Calendar or Outlook within seconds

  7. Invitation emails sent to all attendees automatically

How to edit a new individual event in the calendar?

Event editing with bidirectional sync allows notaries to modify meeting details (time, location, attendees, title) in Nora.Legal Agenda with automatic propagation to Google Calendar or Microsoft Outlook, ensuring all participants receive update notifications.

  1. Navigate to Agenda calendar view

  2. Click the event you want to edit

  3. Event details panel or modal opens

  4. Click "Edit" button (or pencil icon)

  5. Modify event details:

    • Change title (e.g., fix typo, add client name)

    • Adjust date (drag event to new date or select from picker)

    • Change time (drag to new time slot or edit start/end times)

    • Update location (Office → Online, or change address)

    • Add/remove attendees (add new email or delete existing attendee)

    • Modify meeting link (update Zoom URL)

    • Edit notes (add agenda items)

  6. Click "Save" or "Update"

  7. All attendees receive update notification email

  8. Updated event visible in Nora.Legal and external calendar

How to create a new 1:1 meeting scheduling link?

Event types are pre-configured appointment templates with customizable duration, buffer times, availability windows, and booking questions that generate shareable links for client self-scheduling without phone calls or email coordination.

  1. Navigate to Agenda > Event Types tab

  2. Click "New Event Type" button

  3. Configure event settings:

    • Name: "Initial Consultation", "Estate Planning Session", "Deed Signing"

    • Duration: Select minutes (15, 30, 45, 60, 90, 120 minutes)

    • Location: "Office", "Online", or custom address

    • Buffer time before: Minutes of padding before event (e.g., 15 min to prepare)

    • Buffer time after: Minutes of padding after event (e.g., 15 min buffer between meetings)

  4. Set availability:

    • Select days of week available (Mon, Tue, Wed, Thu, Fri)

    • Set time range (e.g., 9:00 AM - 5:00 PM)

    • Optionally block specific dates (vacations, holidays)

  5. Add booking questions (optional):

    • "What legal matter brings you in?"

    • "Have you worked with a notary before?"

    • Custom questions specific to appointment type

  6. Click "Save Event Type"

  7. System generates unique booking link: https://app.nora.legal/agenda/book/{event-type-id}

How to create a group-event poll?

Group availability polling coordinates multi-party meetings by proposing multiple date/time options to participants who mark their availability, with live results dashboard showing optimal meeting times for scheduling complex meetings with 3–10+ participants.

  1. Navigate to Agenda module

  2. Click "New Group Poll" or "Group Availability" button

  3. Add participants:

    • Enter email addresses

    • Can add 3–20 participants (recommended maximum 10 for practical coordination)

    • Include yourself as participant if needed

  4. Propose date/time options:

    • Click "Add Option" for each proposed slot

    • Option 1: November 15, 2024 at 14:00 (2:00 PM)

    • Option 2: November 16, 2024 at 10:00 (10:00 AM)

    • Option 3: November 17, 2024 at 15:00 (3:00 PM)

    • Recommend 3–5 options for best results

  5. Add event details:

    • Title: "Estate Settlement Meeting - Dumont Family"

    • Duration: 90 minutes

    • Location: "Office" or "Online" or address

    • Meeting link: Zoom/Teams URL (optional)

    • Description: Agenda, preparation instructions

  6. Click "Send Poll" button

  7. System sends email to all participants with unique response link

  8. Participants receive email: "You're invited to vote on meeting time for [Event Title]"

  9. Each participant clicks link, sees proposed options, marks availability:

    • ✓ Available for Option 1

    • ✗ Not available for Option 2

    • ✓ Available for Option 3

  12. When consensus found (all or most available for one slot), creator selects winning option

Practical example

Notary Isabelle Laurent connects her Outlook Calendar to Nora.Legal on Monday morning. All her existing 45 appointments from Microsoft sync automatically into Nora Agenda within 2 minutes. On Tuesday, she creates a new client meeting "Property Sale Signing - Dumont" at 14:00 in Nora Agenda, and it instantly appears in her Outlook Calendar on her phone and laptop. On Wednesday, a client calls to reschedule from 14:00 to 15:00 - she drags the event to the new time in Nora.Legal, and Outlook Calendar updates automatically. She receives reminder notifications 30 and 5 minutes before each meeting from both Nora.Legal (in-app) and Google Calendar (phone). Her calendar is now unified - she creates events in whichever platform is convenient, and they sync everywhere.

Notes and limitations

  • Supported providers: Google Calendar and Microsoft Outlook only (no Apple Calendar, Yahoo, or others) + integrations with Webex & Google Meets available. Microsoft Teams & Zoom are in the roadmap.

  • Two-way sync: Events created in either platform sync to the other

  • 30-day sync window: Only syncs events 30 days into future (not past events, not distant future)

  • Multi-account: Can connect multiple Google or multiple Microsoft accounts

  • Last write wins: No conflict resolution for simultaneous edits in both platforms

  • Primary calendar only: Syncs primary calendar, not shared or delegated calendars

  • Auto-sync frequency: Background sync every 15 minutes (not real-time)

  • Manual sync: On-demand sync button for immediate refresh

  • Internet required: No offline mode for sync operations

  • No recurring event details: Recurring events sync but individual instances not tracked separately

FAQ

Q: Which calendar providers are supported for synchronization?


A: Nora.Legal supports Google Calendar and Microsoft Outlook (Office 365) with full two-way synchronization. Other providers like Apple iCloud Calendar, Yahoo Calendar, or other platforms are not currently supported. If you use Apple Calendar, you can sync it with Google Calendar first, then connect Google Calendar to Nora.Legal as a workaround.

Q: Do changes sync both ways - if I edit in Google Calendar, does Nora.Legal update?


A: Yes, synchronization is bidirectional. Events created in Nora.Legal push to Google/Outlook, and events created in Google/Outlook pull into Nora.Legal. Edits (time changes, title changes, deletions) sync in both directions. Sync happens automatically every 15 minutes in the background, or you can click "Sync Calendar" for immediate refresh. Local Nora.Legal calendar is considered authoritative - in case of conflicts, last write wins.

Q: Can I connect multiple calendars from different accounts?


A: Yes, multi-account support is available. You can connect multiple Google accounts or multiple Microsoft accounts to view all calendars in one unified Agenda interface. Each account syncs independently. When creating new events, select which calendar should be the target. This is useful for notaries managing both personal and professional calendars, or offices with multiple calendar systems.
