Step-by-step instructions
Navigate to Smart Processing from the main navigation
Click "Upload Document" or drag-and-drop DOCX or DOC files (max 50MB per file)
Choose the relevant document type (e.g. Notary Act)
Select the appropriate processing guideline from the dropdown (e.g. "Privacy redaction for Notary Act")
Once guidelines are selected, the "Process Document" button activates
Click "Process Document" to start extraction
AI processes the file and displays status: Processing → Completed or Failed
Click on a completed document to open the result viewer:
Left pane: Original document with synchronized scroll
Right pane: Extracted structured data with confidence scores
Review the output and validate data accuracy
⚠️ Note: Only one document can be processed at a time. Batch uploads are not yet supported.
Exporting Results
After processing and review, you can export structured results via the Export button (top-right of the interface). Currently available options:
Export to Word: Generate a clean, editable Word document with the extracted data
Copy without formatting: Copies raw extracted content to clipboard (plain text, no styles)
Export to PDF: Coming soon (option is visible but not yet active)
Use Word export for further editing or reporting. Use "Copy without formatting" for quick pasting into emails, CRMs, or internal tools.
Practical example
Notary Vincent uploads a DOCX liquidation deed, selects the "Privacy Redaction for Notary Act" guideline, and clicks "Process Document." In under a minute, the platform extracts key data (e.g. company name, liquidator, date). He clicks "Export to Word" and sends the formatted output to his paralegal. Task completed in under 3 minutes, with no manual copy-pasting.

Processing time: Small files (<10 pages): 30–60 seconds; large files (50+ pages): 2–3 minutes
No manual corrections: Cannot (yet) edit extracted data in UI – must export and edit externally
Guideline specificity: Generic guidelines produce lower accuracy – best results when tailored to specific document types
No batch export: Must export documents individually (no "export all as CSV" button)
Independent status: Each document processes separately – one failure doesn't affect others
FAQ
Q: Can I upload and process multiple documents at once?
A: Not yet. Smart Processing currently supports only one document at a time. You’ll need to repeat the steps for each new document.
Q: Can I export to PDF?
A: Not yet. The option is visible in the UI but disabled. PDF export will be released soon.
Q: What’s the best format to use for editing?
A: "Export to Word" is ideal for formatted, editable outputs. If you need quick access to just the text, use "Copy without formatting."
Q: How long does processing take for typical documents?
A: Processing time varies by document size: Small documents (5–10 pages): 30–60 seconds; Medium documents (20–50 pages): 1–2 minutes; Large documents (100+ pages): 3–5 minutes. Scanned PDFs requiring OCR take longer than text-based PDFs. When processing multiple documents concurrently, they all process in parallel, so 10 documents take roughly the same time as 1 document (not 10x longer).
