How to organise a new meeting?

Creating local events in Nora.Legal Agenda with automatic outbound synchronization to Google Calendar or Microsoft Outlook ensures all meeting details (title, date, time, attendees, location, meeting links) appear across all platforms simultaneously.

Step-by-step instructions

  1. Navigate to Agenda module

  2. Click "New Event" button (or double-click time slot in calendar view)

  3. Fill event details in creation form:

    • Title: Enter meeting name (e.g., "Property Sale Signing - Dupont Estate")

    • Date: Select meeting date from calendar picker

    • Time: Set start time (e.g., 14:00) and end time (e.g., 15:30)

    • Location: Enter location:

      • "Office" for in-person at your office

      • "Online" for video meetings

      • Custom address for external locations

    • Attendees: Add participant email addresses (internal team members or external clients)

    • Meeting Link: Paste Zoom, Teams, or Google Meet URL (optional)

    • Notes: Add agenda items, preparation instructions, or relevant details

  4. Click "Save" button

  5. Event appears in Nora.Legal Agenda calendar view

  6. Event also appears in Google Calendar or Outlook within seconds

  7. Invitation emails sent to all attendees automatically

Practical example

Notary Vincent Mercier needs to schedule a property deed signature with three parties. He clicks "New Event" in Agenda, enters title "Property Sale Signing - Dupont Family", selects date 2025-12-15, time 10:00-11:30, location "Office - Conference Room A", adds 3 client emails (client1@email.com, client2@email.com, client3@email.com), pastes Zoom meeting link as backup "https://zoom.us/j/123456789", adds notes "Bring IDs and property documents". He clicks Save. The event instantly appears in his Nora.Legal Agenda and automatically pushes to his connected Google Calendar. All three clients receive invitation emails with meeting details and Zoom link. He sees the event on both his desktop (Nora.Legal) and phone (Google Calendar app) immediately.

Notes and limitations

  • Local-first: Nora.Legal calendar is authoritative source - external calendars sync to it

  • Sync timing: Outbound sync happens immediately on save (not delayed)

  • Attendee invitations: External attendees receive email invitations from Google/Microsoft automatically

  • Meeting links: Supports Zoom, Teams, Google Meet, or any video conference URL

  • Location format: Free text - can be office, address, or "Online"

  • Time zones: All times stored in ISO 8601 format with timezone

  • Sync failure handling: If external sync fails, event still saved locally (can retry sync later)

  • No recurrence UI: Creating recurring events requires creating multiple individual events

  • Attendee limits: No documented limit but Google Calendar has 200 attendees/event limit

  • External calendar selection: If multiple calendars connected, can select target calendar

FAQ

Q: Can I add video meeting links (Zoom, Teams, Google Meet)?

A: Yes, paste any video meeting URL into the "Meeting Link" field. Supported platforms include Zoom, Microsoft Teams, Google Meet, Webex, or any other video conferencing service. The link will be included in calendar invitations sent to attendees and visible in both Nora.Legal and your synced external calendar (Google/Outlook).

Q: How do I invite external attendees who don't use Nora.Legal?

A: Simply enter their email addresses in the "Attendees" field when creating the event. They don't need Nora.Legal accounts. When you save the event, it syncs to your Google Calendar or Outlook, which automatically sends standard calendar invitation emails to all attendees. They'll receive the invitation in their regular email inbox and can accept/decline as usual.

Q: What if I create an event in Google Calendar instead of Nora.Legal?

A: Two-way sync means it works both ways. If you create an event in Google Calendar, it will automatically sync into Nora.Legal Agenda within 15 minutes (or immediately if you click "Sync Calendar" button). You can create events in whichever platform is most convenient at the moment, and they'll sync everywhere.
