How to upload a new template?

Template creation allows notaries to standardize frequently-used documents by defining reusable templates with variables, categories, tags, and sharing settings to maintain consistent office drafting standards across entire workspace.

Step-by-step instructions

  1. Navigate to Templates module

  2. Click "New Template" button

  3. Enter template details:

    • Name: Descriptive name (e.g., "Liquidation Deed - Standard", "Property Sale Contract - Residential")

    • Category: Select from dropdown:

      • Notarial Deeds

      • Contracts

      • Clauses

      • Letters

      • Or create new category

    • Description: Explain template purpose and usage (e.g., "Standard liquidation deed for Belgian SA/NV companies with 18 variables")

  4. Add template content: Paste existing document text

  5. Click "Save Template"

  6. Template immediately available in template library

Practical example

Senior notary Marie Lefevre creates office-standard liquidation template from her most recent successful deed. She clicks "New Template", names it "Liquidation Deed - Standard", selects category "Notarial Deeds", adds description "Standard liquidation deed for Belgian SA/NV companies - includes tax optimization clause and creditor notification requirements". Notes and limitations

  • Variable format: Variables are best recognised when they follow {{variable_name}} syntax supported. However, the module is made to automatically recognise the spaces and fields where a variable should be identified.

  • No formulas: Variables are simple text replacements - cannot calculate or execute logic

  • Content format: Plain text or basic formatting - complex tables/formatting may not preserve

  • No multi-document upload: Create templates one at a time (no bulk import)

  • Template size: No documented limit but keep under 50 pages for best performance

  • No template validation: System doesn't check if variables make sense or are complete

  • Tags are free-form: No predefined tag list - you create tags as needed

  • Category structure: Cannot create nested categories (single-level only)

  • Immediate availability: Templates active immediately after creation (no approval workflow)

Q: What file formats can I upload for templates?

A: Document should be a Word (DOCX) file.

Q: How do I add variables to my template?

A: Once you have opened your template, you can add a variable by clicking on the right side of your screen on "add variable". You can also drag & drop existing variables directly within your text if these variables exist in your variables library.

Q: Can I create templates from existing documents in my Library?

A: Not directly - there's no "Create Template from Library Document" button.
