Reference Data informs Form Builder where and how your raw data should be mapped to the APRA schema. It is unique to each fund, ensuring that data transformations are tailored to your specific reporting needs.

Accessing Reference Data

  • Navigate to Form Builder in the side menu and select Reference Data.

  • You will see a data table with tabs at the bottom, each representing a segment of your reference data.

TIP: If you manage multiple funds, confirm you have selected the correct fund from the dropdown before making any changes.


Viewing and Editing Reference Data

  • Segmented Tabs:
    The table view is broken down into segments displayed as tabs at the bottom. Each tab represents a portion of the data source used by Form Builder.

    Navigate through the tabs to view and adjust each segment of the reference data.

  • Editing Data:

    • Edit: Select any field within a row to edit its content.

    • Add Rows: Click the “+” icon to add new rows as needed.

    • Remove Rows: Select a row and remove it if it is no longer relevant.

Approval Process for Edits:
Once you have completed your manual edits or additions, click the Approve button to confirm the changes. This approval applies the updates across Form Builder.

Important: If Reference Data is not approved (for manual edits), the Build button will remain inactive in the File Manager view.

File Upload

  • To upload a new reference data file, navigate to the File Manager and click the Upload icon.

TIP: Uploading a reference data file does not require the approval process that is necessary for manually editing or adding rows.


Important: Reference Data is not additive—uploading or editing a new file replaces any existing data. Once approved, replaced Reference Data automatically resets the validation status on the File Manager view.

Impact on Form Building

  • Rebuilding & Validation

    • If you make changes to Reference Data after starting your form build, you may see new validation errors or need to rebuild forms already in progress.

  • Inactive Build Button

    • If Reference Data is not approved, the Build button will remain inactive on the File Manager view, preventing you from generating forms.

With your Reference Data updated and approved, you’re ready to:

  1. Upload Raw Data (if not done already) for the upcoming form build.

  2. Validate and address any new errors, warnings, or nudges in the Form Builder.

  3. Proceed to form construction once all data is correct and approved.
