"Need admin approval" when connecting Outlook

If Microsoft shows "Need admin approval" while connecting Outlook, your company's Microsoft 365 admin approves Numeo once. Here's how — in about 2 minutes.

Seeing "Need admin approval" when you connect Outlook? No problem — it's a quick, one-time approval that your company's Microsoft 365 admin does once for the whole team. Forward the 2-minute steps below to them, or reply here and we'll send a one-click approval link instead.

Why am I seeing this?

Numeo needs permission to send and read emails from your Outlook account. On company Microsoft 365 accounts, Microsoft requires your company's admin to approve this once before anyone on the team can connect. It's a standard Microsoft security rule — not a Numeo error — and once it's approved, you and your teammates can connect Outlook without seeing this message again.

Using a personal Outlook.com, Hotmail, or Live account? You won't see this — no admin approval is needed.

Who can approve this?

The person who set up or manages your company's Microsoft 365 / Outlook email — often the owner, your IT contact, or whoever you'd ask if everyone's email stopped working. Forward the steps below to them.

Steps for the admin (about 2 minutes)

  1. Go to https://entra.microsoft.com
This is Microsoft's admin site. Sign in with the email and password you use to manage your company's Microsoft 365.

  2. In the left menu, go to "Entra ID" → "Enterprise apps."
This opens the list of outside apps your company uses (the "Enterprise applications" page).

  3. In the search box, type "Numeo" and select it when it appears. (It may also show as Numeo Spot.)

  4. In the left menu, under "Security," click "Permissions."
This shows what Numeo is asking to do — send and read email.

  5. Click "Grant admin consent for [your company name]."
A Microsoft window pops up listing the permissions.

  6. Review it and click "Accept."
    That's the approval — you're done.

If the "Grant admin consent" button is greyed out, this account can't approve apps on its own — ask a Global Administrator to run step 5.

What happens after?

Head back into Numeo, click Connect Outlook again, and it'll connect normally. The approval covers your whole team, so teammates won't have to repeat it.

Is this safe to approve?

Yes — and it's worth knowing exactly what you're approving. Numeo only requests permission to send and read email in your connected account, nothing else. You sign in directly with Microsoft (never inside Numeo), so your password is never shared or stored — Microsoft simply issues a secure access token that you or your admin can revoke at any time.

Your email is used only to power your dispatch features — sending broker emails, matching replies to loads, and building your booking history. It's never sold, shared with unrelated third parties, or used for advertising. All traffic is protected with TLS encryption, and Numeo's platform is independently audited to SOC 2 Type II, the security standard for handling sensitive business data.

Need a hand?

Can't find Numeo in step 3, button greyed out, or stuck anywhere? Reply to this message or email support@numeo.ai and we'll send a direct one-click approval link your admin can use instead — no menus to navigate.
