Managing and Initiating Transfers in your Dashboard

This article details the transfer process, including key considerations and nuances to ensure a smooth transition.

If you’ve previously filed sales tax in a state, a transfer will be needed instead of a new registration for that state. Whether we are registering you for new sales tax accounts or transferring existing ones, any state where you have nexus will be flagged as exposed. This means you’ve either exceeded that state’s economic threshold or established a physical presence there.

By selecting a state page, you can view key details such as your exposure date, total exposed sales, and applicable thresholds. The overview below outlines the overall transfer process and highlights important considerations to ensure a smooth transition of your accounts to Numeral.


Initiating a New Transfer

Follow these steps to transfer your existing sales tax accounts to Numeral:

  1. Navigate to Jurisdictions

    • In your dashboard, go to Jurisdictions in the left-hand menu.

    • Click Manage registrations in the top-right corner.

    • Under Existing registrations, select + Add jurisdiction to transfer.

  2. Select State(s) to Transfer

    • You’ll see a list of states under Exposed where you currently have nexus.

    • Select the state(s) you wish to transfer and click Continue.

  3. Choose Your Start Date

    • Next filing period: Numeral will begin filing for the upcoming tax period.

    • Custom date: Choose your preferred filing period.

      ⚠️ Make sure the information under the ⓘ section matches your expectations for your first filing with Numeral. We typically onboard clients the month before taking over filings (e.g., onboarding in February to file February returns in March) to allow time for account access and resolve any potential state-related delays or credential issues.

  4. Decide on Past-Due Filings

    • Select whether Numeral should handle any past-due or outstanding filings associated with your account.

    • If you select Yes, filings will be processed and paid automatically.

    • Discuss potential penalties or interest with your onboarding manager to make an informed decision.

  5. Add your Login Credentials and Any Other Required State-Specific Details

    • Enter your username and password for each state portal.

    • Double-check your credentials to ensure Numeral can access your accounts without issues.

    • Some states require additional information beyond login credentials, such as PINs or certificate IDs. Make sure you have access to these details before beginning the transfer process.


2FA Access

Many states require two-factor (2FA) or multi-factor authentication (MFA) to access sales tax portals. To file on your behalf, our team needs the appropriate level of access to receive login codes or passkeys. How this is handled depends on:

  • Whether the state requires 2FA/MFA

  • Whether 2FA/MFA can be set up using Numeral’s automated bot

States Without 2FA/MFA

For the following states, only your login credentials or state-specific details are needed:
AK, AZ, CO, FL, KS, KY, LA, MI, MO, NE, NJ, NY, NC, SD, TX, VA, WY

States With 2FA/MFA

For all other states:

  • Automated bot option (if available): During the transfer workflow in your dashboard, you’ll see a prompt that says you have jurisdictions that need the state portal configured. If the bot is supported for that state, you’ll be guided to set up 2FA/MFA directly through your dashboard.

  • Remaining states: If the bot is not an option, you’ll need to schedule a call with our team to complete the setup together.

💡 Tip: Some states allow only a single 2FA/MFA method per account. If you’d like to retain portal access for your own use, we can forward codes to your preferred email address. Just let our team know during onboarding, and we’ll configure it on the back end.


Transfer Processing and Timeline

The transfer process can be impacted by several factors, but having the correct account credentials and related information on hand is the most important factor in ensuring a smooth transition. If your accounts were registered through a previous provider, we recommend gathering as much information as possible before transitioning and verifying that the credentials provided work correctly.

Regaining access to a locked account can be time-consuming, as some states require mailed documentation to confirm account details before granting access if the correct credentials are not available.

⚠️ If we don’t receive a response regarding an incomplete transfer after one month of attempted contact, we will remove the transfer request from our system. Please monitor communications closely during onboarding to ensure all accounts are successfully transferred.

Tax Collection Settings

For most transfers, clients already have tax collection enabled, as they have been collecting and remitting tax in those states prior to Numeral taking over.

⚠️ If you believe these settings may be incorrect, please notify our team so we can review them. Occasionally, accounts from previous providers may not have tax collection properly enabled or configured, but we can work with you to resolve any issues.


Newly Registered Accounts That Need to Be Linked

If you recently registered for sales tax but haven’t filed yet, your account must be properly linked to the state portal. To do this, we may need:

  • Letter ID

  • Taxpayer number

  • PIN

  • Or other state-provided information

Transitioning from a Different Provider

We typically onboard clients the month before we take over filings (e.g., onboarding in February to file February returns in March) to ensure our team has enough time to transition accounts, establish store connections, and configure tax collection if you’re using our tax engine.

⚠️ The most critical step is properly disconnecting from your previous provider before transferring your accounts to Numeral. Make sure the timing of your previous service ending aligns with Numeral taking over. Misalignment can result in duplicate filings, which may cause complications or require amendments.
