You can automatically configure the number of bankroll top-up validity days across all your establishments. A different — but shorter — duration can also be entered directly when topping up a contact or a list of contacts.
The duration defined across all establishments must always be greater than that entered for an individual contact or a list. For example, if you set 60 days globally, you can indicate 15 days for a contact, but not 80 — in which case you would first need to increase the global duration.
1. Set the validity across all establishments
In the left menu, click on Company
In the "Information" section, scroll down to the field "Number of bankroll top-up validity days (can be entered per top-up)"
Enter the desired number of days
Save
Just above, you will find the field "Number of loyalty points validity days", which allows you to define an automatic expiration of points accumulated by your customers.
2. Set the validity for an individual contact
In the left menu, click on Contacts
Search for the contact via the search bar (last name, first name or email)
Click on their email address to open their record
Click on the Bankrolls tab
If the message "No bankroll" appears :
From the dropdown menu at the top of the record, select Add a bankroll
Click on Confirm — the Bankroll is now linked to the contact
Go back to the Bankrolls tab and click on Bankroll
If a bankroll already exists :
Click on Bankroll
Then :
Click on Add a history
Enter the amount to credit in euros
Enter the desired number of validity days
Click on Confirm
The amount will automatically be reset to zero after the defined number of days.
3. Set the validity for a list of contacts via CSV import
In the left menu, click on Contacts
Click on the Import contacts button
In the window that opens, click on download an example to retrieve the CSV template
Open the file and fill in the following columns, strictly respecting the order and exact headings :
Column | Content |
Email address | Contact's email |
Last name | Last name |
First name | First name |
Number | Without country code |
Number of points | Number of points to assign |
Opt-in | 1 if opt-in |
| Bankroll amount × 100 (e.g.: €15 = 1500) |
Date of birth | Format dd/mm/yyyy |
| Number of validity days (e.g.: 15) |
| Tags to associate, separated by an underscore _ (optional) |
Once the file is ready, drag it into the Import a file area or click to select it.
Configure the import options :
Establishment: select the relevant establishment
Phone prefix: choose the country prefix
Update if existing: check to update contacts already present
Add new contacts to a list: check if you wish to group them in a list
Click on Confirm to launch the import.
