How to set up a year prefix for your invoices in Octoa

A step by step explanation to add a year prefix to invoices and reset the counter, to afterwards automatically increase.

Octoa is designed to automatically increase your invoice numbering. Some users like to continue the numbers even across years, but if you want to reset your invoice numbering every year this is what you have to do.

How to add year prefix to invoices and reset the counter

  1. Go to: https://app.octoa.com/settings/invoicing
    Make sure your invoice prefix does not have a year in there.


  2. Leave the settings page and open your project.

  3. Then create your first invoice of the year, open the invoice and click add manually (inside the invoice) next to Invoice nr.


  4. Manually adjust the invoice number to something similar to: "2023001" or "23001".


  5. Save the invoice and send it out. This way the next invoice number will be "2023002" or "23002" and continue to automatically add up.

Side note

What's important to know is that the invoice prefix in your settings page is not designed to work with the year prefix. It's designed to for example add letters to your invoice number, for example when adding "OT-", your invoice number will be "OT-001". Changes to the prefix will change all your invoices.
