Approving Submitted Work vs. Marking a Stage as Complete
In olooa, managing project stages is flexible and designed to give you complete control over your workflow. Approving submitted work does not necessarily mean a stage is finished. This allows you to request more revisions and additional assets, ensuring that each stage is fully completed when you're ready.
In this article, we’ll walk through the process of approving submitted work, explain the difference between approval and completion, and show you how to mark a stage as complete when you're 100% sure it’s done.
How to Approve Submitted Work
Review Submitted Work
Once a team member submits their work, you’ll receive a notification in olooa. To review the submission, navigate to the specific project and click on the Submitted Work tab within the stage you are reviewing.
Here, you’ll be able to view the submitted work (e.g., thumbnails, scripts, or videos) and leave feedback or request revisions if needed.
Approve Work
If the submission meets your standards, click the Approve button to confirm the asset.
Remember, approving an asset does not complete the stage. This is particularly useful when you need to approve multiple versions of something (e.g., different thumbnails) but still want the flexibility to request additional submissions later.
Requesting More Submissions
Even after approving a piece of work, you can always return to the stage to request more submissions. For example, if you’ve approved a few thumbnails but want more options, you can still request additional thumbnails without marking the stage as complete.
Marking a Stage as Complete
When to Mark a Stage Complete
A stage in olooa can remain In Progress even after you’ve approved several pieces of submitted work. This gives you the opportunity to gather everything you need for that stage before finalizing it.
You should only mark a stage as complete when you are 100% confident that no further revisions or submissions are needed. Once a stage is marked complete, it will be locked, and no more submissions can be made for that stage. You can always undo a stage marked as complete.
How to Mark a Stage as Complete
Once you are satisfied with all the submitted work within a stage and are sure the stage is finished, click the Complete button.
Remember, this is a final step—marking a stage complete means no further work is required.
Why This Flexible Workflow Matters
Greater Control Over the Creative Process
olooa allows you to approve individual pieces of work while keeping the stage open. This is especially helpful in creative projects like content creation, where you might need to approve multiple options or iterations (like thumbnails, rough cuts, or graphic designs) before finalizing a decision.Freedom to Request More Revisions
By leaving a stage open after approving some work, you maintain the flexibility to request additional submissions without needing to start a new stage. This ensures that the project can remain in progress until you're fully satisfied with all the assets for that stage.A Clear Separation of Approval and Completion
By distinguishing between work approval and stage completion, olooa helps you avoid rushing through stages while giving you the assurance that each stage will only be marked complete when all the required assets meet your standards.
Best Practices for Using olooa’s Approval and Completion Features
Take Your Time: Approve submitted work as it comes in, but don’t feel pressured to mark a stage complete until you’re sure everything is exactly how you want it.
Communicate Clearly: Use the feedback section when approving or requesting revisions to ensure your team knows exactly what’s expected and whether more work is required.
Think Ahead: If you know you might want to request additional assets or revisions, leave the stage in progress until you're certain that everything is finalized.
