The Auto Assign feature in olooa allows you to automatically assign team members to specific tasks or stages each time a new project is created. This streamlines your workflow by ensuring that key team members are always assigned to their respective roles without the need to manually add them to each project.

In this article, we’ll explain how to set up auto assignments when adding a new team member and how to adjust their auto assignment later on.

How to Set Auto Assign When Adding a New Team Member

  1. Go to the Team Tab

    • Open the project and navigate to the Team tab.

  2. Click Add to Add a New Team Member

    • In the Team tab, click the Add button to invite a new team member to the project.

  3. Set Auto Assign

    • When adding the team member, you’ll see the option to configure an Auto Assign setting. Choose the stages or tasks you want the team member to be automatically assigned to for future projects.

  4. Save and Invite

    • Once you’ve set the auto assignment, click Save to invite the team member. From now on, whenever a new project is created, the team member will automatically be assigned to the stages or tasks you’ve specified.

How to Adjust Auto Assign for Existing Team Members

  1. Go to the Team Tab

    • Open the project and navigate to the Team tab.

  2. Click on the Team Member's Name

    • Locate the team member whose auto assignment you want to adjust. Click on their name to open their profile pop-up.

  3. Adjust Auto Assign Settings

    • In the profile pop-up, you’ll find the Auto Assign option. Here, you can modify which stages or tasks the team member will be automatically assigned to for future projects.

  4. Save Changes

    • After adjusting the auto assignment settings, click Save to apply the changes. The updated auto assign settings will take effect for all new projects.
