Worker Portal Setup: Branding & Welcome Content

Configure the worker portal for a personalized touch and a warm welcome

The Fountain worker portal displays your company's branding to workers when they access their portal. Manage your brand name, logo, colors, and messaging from the Brands settings page.

To access Brands, click your company logo in the bottom left corner and then Settings. Click Brands under the Global Settings section.


Edit Brand Settings

To edit a brand's settings, click the brand name directly in the Brands table. You can also click the 3 dots button to the right of the brand name and select Edit brand.

To create a duplicate of an existing brand, click the 3 dots button and select Copy brand.

A mobile-optimized preview on the right side of the screen shows how your updates will appear to workers in real time. Use the Worker Portal, Welcome Message, and Invitation tabs at the bottom of the preview to toggle between different views.

Global Branding

The Global branding section contains your core brand identity settings. Expand the section and update the following fields as needed:

  • Brand Name — The name of your brand as it will appear to workers.

  • Website URL — Your company's website address.

  • Logo — Upload your company logo. Fountain recommends using a transparent PNG for best results.

  • Primary brand color — The main color used throughout the worker portal. Fountain recommends choosing a darker color here for readability, and using a lighter color as your secondary accent color.

  • Secondary accent color (optional) — A complementary accent color used in the worker portal.

  • Matching Hire Brand ID (optional) — If your company uses Fountain Hire, enter the corresponding brand ID to ensure visual consistency across both platforms.

Click Save after making any changes.

Welcome Message

The Welcome message section controls the message that appears at the top of the worker portal for new users. Expand the section to configure the following:

  • Your welcome message — The main message displayed to workers when they first access the portal. This sets the tone for their onboarding experience.

  • How can workers contact you — An optional field for providing workers with a way to reach your support team if they need help.

Click Save after making any changes.

Craft an effective welcome message

  • Warm welcome: Begin with a friendly greeting and express your excitement about having them join your team.

  • Introduction: Provide a brief introduction to the company and its mission.

  • Positive tone: Maintain an encouraging tone throughout. Let workers know you are excited about their contributions to the team.

Onboarding Message

The Onboarding message section controls the message that appears in the header of the worker portal Dashboard tab. Expand the section and edit the Your onboarding message field as needed.

Click Save after making any changes.

Invitation Message

The Invitation message section controls the message sent to new workers as soon as they are created. This message serves as their introduction to both the worker portal and your company.

Expand the section to configure the following:

Your email invitation message

  • Subject — The subject line of the invitation email.

  • Content — The body of the invitation email.

Your SMS invitation message

  • Content — The body of the invitation text message. Use the Copy Email button to populate this field with your email content as a starting point.

Use the Send via e-mail and Send via SMS toggles to control which channels are active (both are enabled by default).

Click Save after making any changes.


Publish Your Brand

After making any changes to your brand settings, click Publish to apply them.
