The Settings screen in Worker Experience houses most of the settings that are relevant to your company's account and your workers.
The I-9 Center and Pulse products will have additional settings pages. Review those additional settings by reading the following articles:
Important Note:
Some settings pages may not appear in your account, based on what products your company does and does not have access to.
To access the Settings screen, click your company logo in the bottom left corner and then Settings.
Company
Use the Company Settings section to view and configure settings related to your company.
Important Note:
The settings in this section affect all users and aspects of your account. Fountain recommends working with your Fountain Customer Success contact or support@fountain.com for guidance and assistance when adjusting any Company settings.
Company Profile
Includes all basic information for your company, including your company's name/legal name, address, and logo. Support Email and Support Phone fields can be set with the best points of contact for if your workers need support:
Fountain Hire Account connection
If your company is also a Fountain Hire customer, this section is where you'll connect that account with your Worker Experience account. This information can be found in your Hire account's Company Settings.
EINs (Employer Identification Numbers)
If your company uses I-9 Center functionality, this is where EINs will be set up for your account. EINs can be linked to individual workers, either:
Manually in their worker profile, or
Automatically based on the value(s) of a worker property
Important Note:
If using E-Verify, Fountain will help you set up EINs and add links to worker properties. Please reach out to your Fountain Customer Success contact or support@fountain.com for assistance with this section.
Worker Portal Options
The Worker Portal Options has three settings:
Allow workers to sign-in with email verification.
Allow workers to sign-in using an SMS OTP method. This feature gives workers the option to receive a one-time password by SMS in order to access their worker portal.
Allow workers to edit fields in their Worker Profile. You can select from the following fields that a worker can edit:
First name
Last name
Email
Phone number
Best Practice:
If your workers continually run into issues with their portal link expiring, enable Sign-in with SMS OTP. Workers with an expired link will receive a code via SMS to log into the portal, which avoids requiring a user to have to manually resend a link to the worker.
Team
This page is where you will invite users to your company's Worker Experience account.
Click Invite in the top right corner, type the email address, and click Invite:
This will send the user an email with a link where they will enter their first and last name and set up a password for their account. Their invitation will show as Pending in the Team table until they accept the invitation.
The More Actions button for each user has 3-4 options:
If a colleague has not yet accepted their email invitation, you can click Resend Invitation to send the email out again
Any colleague can be Removed from the platform, which removes their access entirely
Manage Locations allows you to adjust what locations they have access to in Worker Experience based on their role type. Some roles will be non-location restricted, which means if you set a location, it will have no impact. Learn more about Worker Experience roles and permissions in this article.
Manage Security Groups used by the Fountain team if your company is also using Fountain Hire to ensure the user has access to the right information in both systems. Worker Attributes
Worker attributes are custom values that can be assigned to your workers and help organize your employee population.

Workforce
In Workforce Settings, there are three setting options:
Deduplication Keys
These keys allow you to choose specific worker details for verifying potential duplicates within the system.
You may select one or combine multiple options. Once configured, any newly created or imported worker profiles that match the criteria will trigger an error indicating that the user already exists in your account.
Reactivate Employees
Turning on this toggle will automatically change the worker's status to prehire if they were previously terminated and have been re-added to your account.
Protected Worker Attributes
Use this section to hide the value of the following attributes from your users.
SSN
Date of birth
EIN (Employer Identification Number)
Hourly pay rate
Security
The Security settings page has three features that can be enabled:
Two-factor authentication (2FA)
Turning on this toggle will add an extra layer of security when users log in to Fountain. Users will link their Fountain account to a two-factor authentication (2FA) system, such as Authy or Google Authenticator. They will then be required to provide a 6-digit code anytime they access Fountain.
Tip!
If a user reaches out that they are locked out of Fountain due to 2FA, Administrators can reset it for them by going to Settings and then the Teams tile. Click the 3 dots button to the right of the user's name and select reset two-factor authentication.
Open Signup
This toggle, which is disabled by default, allows people with an email address in a given domain to be able to sign up for the Fountain Worker Experience platform through an open signup link.
To use this feature, follow the steps below:
Turn the toggle to on.
In Allowed Domains, enter the domain address that you want (most likely your company's email format, such as "fountain.com"), and click Enter.
Click Save. An Open Signup URL will be generated that can be sent to others in your organization.
SAMLv2 SSO
SAMLv2 SSO (Security Assertion Markup Language 2.0 Single Sign-On) allows users to authenticate once and access Fountain using a single set of credentials, streamlining the login process and improving user experience.
You can set up SAMLv2 for your users when accessing the Employer Dashboard, for workers when accessing their Worker Portal, or both.
Click the Start button for the appropriate section. You will then have the option to enable it via a toggle.
Password Policy
Use this section to set up user password requirements. You can set a minimum length for the password and/or how many days the user has until the password expires, and they need to create a new one.
Roles and Permissions
In this tile, you'll configure the roles and permissions for your Fountain users.

Security Groups
Security Groups are used by the Fountain team to map user roles in Hire to the appropriate roles in Worker Experience. This will ensure that users see the correct information in both systems.

Jobs
The Jobs tile lists all roles that workers are connected to in Fountain.

Locations
The Locations tile lists all locations that workers are connected to in Fountain.

Location Groups
Here you have the ability to view, edit, create, and delete Location Groups. Location Groups are a collection of multiple locations and can be used to streamline the process of assigning roles and permissions by selecting a group of locations, as opposed to selecting individual locations one by one.
Once a Location Group has been created, you may add or remove locations from it as needed. Additionally, you have the option to provide a brief description for the group during its creation.
Location Attributes
The Location Attributes Settings allow you to view, add, edit, and delete attributes related to your locations. Currently, these location attributes are not used anywhere within Fountain, but new functionality will be added soon. Check back here later!
To add a new attribute:
Click Add Attribute
Give it a label (a description of what the attribute is)
Select the attribute type from these options:
String (plain text)
Number (allows numerical values only)
Date (allows for values only in a date format)
Boolean (true or false answers only)
To edit or delete an attribute, click the 3 dots More Actions button on the Attribute Table.
Messaging
Email Settings
Choose the default email addresses from which communications to workers will be sent. If email communications are toggled off, then all communication via that method will be disabled across all Worker Experience products.
SMS Settings
Choose the default phone number from which text communications with workers will be sent. If SMS communications are toggled off, then all communication via that method will be disabled across all Worker Experience products.
External Messaging Support
If your Worker Experience account is linked to a Fountain Hire, Hire Go, or a Workday account, turning these toggles on will enable shortcut buttons to the other systems so that messaging can be sent from the other system.
For Fountain Hire, the link is visible in the I-9 Center through the More Actions button via the Applicant Profile link, which brings the user to that worker's Hire Applicant Profile:
You can also use the Message in Hire link via a specific Onboard flow page.
For workers who need to be messaged from Hire Go, this will show as a Message in Hire Go link, which is only available through a specific Onboard flow page. This will bring the user to the Hire Go Applicant Profile Message tab.
For workers from Workday, this will show a Contact worker link (through the I-9 Center or Onboard flow page) that opens an email draft to them:
Analytics

Tags
The Tags page, also known as the Tag Manager, allows users to manage tags that can be added to workers' I-9, W-4, and Onboard profiles. You can take the following actions:
Search for existing tags using the Search bar.
Add a new tag: Click Add Tag in the top right to create a new tag for your users to be able to add.
Edit existing tags: click the 3 dots More Actions button and then Edit to update the label for any existing tag.
Delete a tag: Click 3 dots More Actions button and then Delete to delete a tag if you no longer need it to be used.
Triggers
Here you'll set up triggers to be used across your Fountain products. Triggers are a key component of Fountain’s worker products and can be used in the general Worker Experience platform, Pulse, or Compliance. These trigger automations are designed to simplify workflows, boost engagement, and ensure seamless compliance management.

Hire Webhooks
The Hire Webhooks tile is used by the Fountain team to move Hire data into the Worker Experience platform.
