Bulk driver activation and "waiting for activation" profiles management

Driver activation is a day-to-day operation that requires multiple resources if processed on a driver by driver basis.

“Bulk driver activation” feature helps companies grow their driver fleet faster and spare operational resources. Moreover, fast activation secures positive driver experience from the moment a driver joins the company and enhances driver loyalty.

Bulk driver activation is available to a company user with "Full access" or "Drivers & operations" with Driver edit permission.

To process bulk driver activation access My hub > tab Drivers > Driver Management > tap on “Filter” icon and prepare the filter of those drivers you are willing to activate.

Select:

1. “Waiting for activation”

2. Service type

3. Production year

4. Subscription plan

Mind that one can select several categories in Service type and Subscription plan fields.

Tap on APPLY and review the selection.

To activate all the drivers in the filter selection one has to:

1. tick “Select all”

2. tap on “More items” button at the end of the selection row

3. select “Activate” in the Side menu options

4. choose the service type and driver plan (optional) that will apply to the selected drivers after activation.

5. tap “APPLY” to launch the activation script

6. watch the progress of the script on the pop-up window

NB:

1. If a driver is already on the plan with a cycle he will be moved to the new plan after the current subscription period is over.

2. When bulk driver activation script is in progress the manager’s screen is locked

For the script to process the activation correctly it is highly recommended not to affect any changes on driver profiles data:

a. from a new My hub window of the manager who launched the script

b. by any managers of the company with driver edit permissions.

7. once the activation is complete one can review the activation statistics results:

a. how many drivers have been activated

b. the profiles of these drivers whose activation failed for some reason. You can try to activate them again by tapping on “Retry” button.

All the drivers get notified on their Activation via an sms sent to their profile number and an email (should it be added in a driver’s profile).

"Waiting for activation" profiles management

There are 2 statuses a company user with "Full access" or "Drivers & operations" with Driver edit permission can transfer “Waiting for activation” driver to:

- Reject

- Put activation on hold

These new statuses allow a manager to filter driver activation requests and decide:

1. whether to activate a driver

2. reject his request

3. put profile activation on hold

“Reject” driver status value:

There can be a number of reasons a manager may put a profile in “Reject” status. Among others are: a driver’s vehicle does not meet company requirements, driver qualifications or references are unbecoming, driver has previously violated company policies, etc. If deleted, such profiles may spam the company with new registration attempts, which will require a continuous effort and resources to review those profiles.

“Reject” status keeps a driver’s profile registered on a specific number in permanent suspension.

“Put activation on hold” driver status value:

A manager may need to put a profile’s activation on hold for multiple reasons:

some profile details need to be verified, an excess of drivers on the fleet at the moment, etc. The main objective is to place “Waiting for activation” drivers on hold to get back to their profiles later.

Both “Reject” and “Put activation on hold” operations can be applied to bulk or individual profiles.

Let's select a “Waiting for activation” driver profile and process “Reject”/“Put activation on hold” status change as well as manage the “Rejected”/ “Activation on hold” profiles afterwards.

Select a “Waiting for activation” driver, tap on the “more items” button, select “Reject” option and finalise by tapping “CONFIRM” in the pop-up window. Now the driver’s status is changed to “Rejected”.

For a “Rejected” driver profile one can further process the following changes:

  • Restart activation (put back into “Waiting for activation” status)

  • Delete

Now choose a “Waiting for activation” driver, tap on the “more items” button, select “Put activation on hold” option and finalise by tapping “CONFIRM” in the pop-up window. Now the driver’s status is changed to “Activation on hold”.

For an “Activation on hold” driver profile one can further process the following changes:

  • Activate

  • Reject

  • Delete

A driver is notified by an email and sms on any profile status update processed by Company.

Driver current status is added in Drivers report in a separate column.

IMPORTANT:

If one needs to change status for a group of drivers, all the drivers who are selected for "mass status update" (for ex: mass activation) will be automatically assigned the service type and driver plan that are specified in the mass status change dialog.

It's mandatory to specify the service type and driver plan for drivers "mass status update".

Thus, if a driver already has a driver plan the new specified driver plan will be applied when the current plan is over.

So, if some drivers already have a specified service type and/or driver plan, and one wants to mass change their status but keep their service type and driver plan after the status update, one needs to:

1. filter the list of drivers by the desired status, service type and/or driver plan:

2. apply mass status change to the filtered set of drivers:

Notifications to managers on pending “Waiting activation” driver profiles

Once a day at 10 am, if at least 1 driver profile is pending in “Waiting for activation” status for more than 48 upon request submission, a company user with Full access or Drivers and operations with Driver edit permission receives an email or an sms (if a phone number is added to profile)

For example:

If 3 drivers have been pending in “Waiting for activation” status for over 48 hours, the email with notification on 3 drivers is sent to managers. In the meantime, the 3 drivers are still pending activation and 2 more drivers register almost simultaneously within the next 48 hours. The email sent the day will still show notification on 3 drivers.

However, the email sent in 48 hours upon the second lot of driver registration will contain a record on 5 driver profiles awaiting activation.
