Corporate account

Corporate accounts feature allows a company to work with enterprises (corporate clients) willing to pay for the rides of their employees/customers.

Corporate accounts benefits:

a) a company grows by attracting big business customers to the platform

b) a corporation/enterprise caters for the transportation of their employees/customers and covers the expenses

c) a corporate employee/customer can order business trips that are paid from corporate balance

How to create and set a corporate account up:

Before a corporation/enterprises decides to enable corporate trips for their employees/customers they should:

1. stipulate the conditions and payments for service provision with the service provider (company).

2. provide the list of users/employees that corporate trips are to be allowed for. The list of users/employees should contain: employee/user name and mobile number.

After that the company can activate a corporate account for the business partner.

Corporate accounts are added on a Merchant level of one’s Brand.

Both Brand and Merchant managers are able to add and manage corporate accounts.

To add a corporate account, access section Corporate accounts in tab Merchant and tap “ADD ACCOUNT”.

Specify the name of the company (to show in Customer app as a corporate account payment method) and the email of the business partner’s manager.

The manager will get a Trip summary to this email after each trip.

One corporate account can have 1 manager record.

How to manage a corporate account:

A Brand/Merchant manager can manage the corporate account’s record:

Suspend

Delete

Tap on the “more items button” next to the corporate account record and select the required action: "Suspend" or "Delete".

The suspension of a corporate account means that the account is temporarily deactivated and its users can no longer place orders on the service. A suspended corporate account can be re-activated at any time. A deleted corporate account can not be restored.

The historical data of a corporate account is logged in reports even after the record has been deleted.

To "Edit" corporate account data (name and email) tap on corporate account line to select it and edit the data in the pop-up window.

How to manage a corporate account’s employees

A Merchant manager is in charge of a corporate account’s employee.

To add a corporate account employee, tap on the created account, proceed to the section Employees, tap on “ADD EMPLOYEE” and fill in an employee’s profile record: full name and phone number.

The full name is specific for a particular corporate account, and does not affect any other accounts/profiles connected to this phone number.

IMPORTANT:

To use the corporate account an employee needs to have an in-app profile, registered in Onde system. Otherwise, his status in a corporate account will be “PENDING”.

Once an employee’s corporate account profile is activated, a user with the app is notified with a push “Congrats! You've been added as a member of [Name] corporate account. You can now use your corporate account to pay for trips!”

A corporate account employee gets a Trip summary to their profile email after each trip.

To delete an employee’s record, tap on the “more items button” next to it and select “DELETE”. Once deleted from the account, an employee can no longer use corporate account services. Employee’s historical records stay logged in Reports upon record deletion.

Once a corporate account employee’s profile has been deleted, they will get the following notification: "[Name] corporate account is no longer available. In the future, please use other payment methods. If you’ve already ordered a trip but haven’t started it yet, please make sure to do it again using another payment method."

Corporate account employee statuses

Invited - an employee who is added but not registered to the system yet (does not have an app profile). My hub shows the status as Pending. After registration, their corporate status automatically changes to Active.

Active - an employee who has registered an app profile.

Deleted - an employee who was deleted by the manager. Such users are removed from UI (not shown in My Hub) but their record is logged in backend.

Abandoned - an employee who deleted their account from the app and Grace period to restore it (30 days) is over.

How to enable corporate account payment method

Corporate account payment method is enabled/disabled on Service level in My Hub.

To add corporate account payment method for a service, access My Hub, proceed to Services, open the service you need, hover over to Payment methods, and toggle the switch “Corporate account” under 'Payment via the app' section.

Corporate account in Customer App

A customer who is added as a corporate account user/employee will be able to see a separate payment method in their app. The corporate account payment method is attributed the name given by the Brand/Merchant manager upon corporate account registration.

In case a customer wants to take a trip on corporate account service, they should preselect this payment method before placing an order.

NB

If a corporate account order is cancelled and a customer cancellation fee is applied, the fee is charged on the Corporate account.

Corporate account is shown as the payment method for the trip on Corporate account payment methods in Driver and Customer apps.

Corporate account logic is different from that of Customer Wallet.

The trips are free of charge for Corporate account users, hence there is no corporate wallet or balance to show as well as no option or need to top the balance up.

Corporate account in reports

Corporate account trips in Order report can be filtered by Payment method = Corporate account and Corporate account ID (one can find it in the URL of Corporate account record).

IMPORTANT

An order on Corporate account payment method:

- has the same flow as other automated payment methods (Customer wallet, Card)

- requires a drop-off

- has no limitations or restrictions on price, duration or distance

- does not have the in-app option to tip the driver

- does not allow to use a promo code

- can be placed if the corporate account user is in roaming (temporarily in another location) and there is a Company in the same Merchant of the Brand allowing corporate account trips
