Restricted access and Company suspension

Billing plan charges and auto restriction/suspension mechanism

Our platform is available on a SaaS basis, which means that each company’s panel is linked to a billing plan: monthly subscription fee (charged every billing cycle that equals 30 days) + a % from each order.

Once the balance of a company goes negative the following default mechanism is triggered:

1. 7 days are granted to cover the debt before the access to company is restricted (company operations will still be running, but there will be no way to access the panel to affect any changes or view company metrics).

2. 14 days are given to cover the debt before the company is suspended and all operations go on standby. This is until balance is topped up, and the company is reactivated.

To sum it up, once the balance drops below 0, there are 14 days till company operations are suspended (unless the debt is covered), 7 of these days the company will still operate (drivers will process orders) but Company users will have no access to company.

A warning on automatic access restriction to company

If a company’s balance goes below 0, the users with “Full access” or “Finance & accounting” roles will receive an email notification. They will also see the following message at the top of the panel:

Message:

Warning: your balance is negative! You have XX days XX hours XX minutes to top up the balance before access to the company is restricted. XX days XX hours XX minutes left until the company is completely suspended.

Access to company is automatically restricted

Once the access to company is auto restricted, users with “Full access” or “Finance & accounting” roles will see the below message:

Message:

Balance is negative. You have XX days XX hours XX minutes before all operations will be stopped if the balance is not topped up.

To regain access to company, a user with “Full access” or “Finance & accounting” has to tap on “Top up” button and credit funds to bring the company's balance above 0.

Company is automatically suspended

Once the company is auto suspended, the following message is generated for users with “Full access” or “Finance & accounting”:

Message:

The company is completely suspended on DD:MM:YYYY. 
To activate it, top up the company balance.

In accordance with the Terms and Conditions, if the suspension period exceeds 3 months, a reactivation fee applies. If it exceeds more than 2 years, a complete WL rebuild at full cost applies.

To reactivate a company, a user with “Full access” or “Finance & accounting” role has to tap on “Top up” button and credit funds to bring the company’s balance above 0.

Manual access restriction and company suspension by Onde supervisor

There can be cases where Onde supervisor is bound to process the following measures:

a. “Grace” (preconditioned by possible payment delays due to third-party issues, for example bank transfers arrival).

1. change default grace periods set for company access restriction and suspension

2. manually change restriction and suspension date for company

“Grace” measures are to be stipulated with a personal account manager.

b. “Disciplinary” (preconditioned by possible violation of payment arrangements by a partner).

“Disciplinary” measures consequences result in below scenarios:

Access to company is restricted manually by Onde supervisor

Once access to company is restricted manually by Onde supervisor, users with “Full access” or “Finance & accounting” roles will see the following message:

Message:

Access is restricted

Please contact your personal account manager.

To regain access to company, company’s official representative needs to write to a personal account manager and stipulate the conditions.

Company is suspended manually by Onde supervisor

Once the company is suspended manually by Onde supervisor, the below message is displayed to users with “Full access” or “Finance & accounting” roles:

Message:

The company is completely suspended on XX/XX/XXXX. Please contact your personal account manager.

In accordance with the Terms and Conditions, if the suspension period exceeds 3 months, a reactivation fee applies. If it exceeds more than 2 years, a complete WL rebuild at full cost applies.

To reactivate the company company’s official representative needs to write to a personal account manager and stipulate the conditions.

Company is suspended manually by a “Full access” user

Sometimes a business itself needs to put operations on hold from their side and suspend the operations.

Once the company is suspended manually by a “Full access” user, he/she and other “Full access users” see will see the following message:

Message:

The company is completely suspended on XX/XX/XXXX.

In accordance with the Terms and Conditions, if the suspension period exceeds 3 months, a reactivation fee applies. If it exceeds more than 2 years, a complete WL rebuild at full cost applies.

Any “Full access” user can reactivate the company. However, depending on the suspension period, reactivation fee or even new WL fee might apply.

If a Company is manually suspended by a “Full access” user, the below message is shown to a manager with with a “Finance and Accounting” role:

Message:

“Access is restricted.

Please contact your company administrator”

Users with “Drivers & operations” or “Marketing” roles will see below message in any of the below mentioned scenarios:

- Automatic access ​​restriction or suspension

- Manual access suspension by “Full access” user

- Manual ​​access restriction or suspension by Onde supervisor

Message:

“Access is restricted.

Please contact your company administrator”
