Driver Levels: a step-by-step guide to create and manage

Driver Levels is a feature that ensures top-performing drivers automatically get better conditions (such as subscription cost, number of included rides, and order fee). It’s a tool that motivates drivers to perform better and increases their loyalty to the company.

Check the post Driver Levels: How does it work? for Driver Levels solution overview.

Who can add and manage Driver Levels

Company users with Full access can add and edit Driver Levels

Users with Drivers & operations role starting from Standard can view and/or edit Driver Levels depending on the permissions.

How to create a Driver Levels' mechanism

1. Decide how many Driver Levels you want to launch with. Let’s say you need a 2 level scheme. Start by setting up 2 plans, one for each level. For Driver Levels to work the plan has to have a period (1,7,30 days)

2. Proceed to tab Drivers > Driver plans and create the plans you need

For example:

Plan 1 - a starter plan that all new drivers are put on (no fee per period, just per order fee)

Plan 2 - the plan with more favourable per order fee conditions but a set fix per period.

Mind that a minimum of 2 and a maximum of 5 different levels with different conditions can be configured for a Driver Level mechanism to work.

3. Open tab Drivers > Sub tab “Driver levels” > Tap on “Enable driver levels” and set your Driver Levels up:

a. Tap on “ADD level” in Level 1

b. Select the plan that will relate to Level 1 (Plan 1). Driver Levels mechanism will be activated for all the drivers who are or will be put on this plan). Mind that you can only select a plan with a period.

c. Once the plan for Level 1 is selected, tap on “Add level” for Level 2

d. Choose the plan that will relate to Level 2 (Plan 2) and set eligibility conditions that drivers have to meet to be placed on this level. At least 1 eligibility criterion must be defined for a level.

For example:

Min. days active 7

Min. completed rides 3

Min. ride acceptance rate 45

Max. ride cancellation rate 20

Min. driver rating 4

e. Tap “Save” to finalise the set-up. You are welcome to edit the current configuration later by changing the conditions of the added levels, adding more levels or deleting any levels.

In case one edits driver levels, a driver’s performance data will be recalculated and updated. The system will ask to confirm by tapping on “Save changes”

How to deactivate Driver Levels

To deactivate Driver Levels one should delete all Levels above 1.

Tap on “Edit” > “bin icon” in front of Level 2 > Save > confirm by selecting “Deactivate” in the pop-up window

A driver’s performance review for Driver Levels transfer

Let’s say the company has set 2 levels in a Driver Levels mechanism.

Plan 1 with a 7 day cycle is added for Level 1.

Plan 2 with a 7 day cycle is added for Level 2 with the following eligibility conditions: Min. completed rides 50 Max. ride cancellation rate 5

Once a driver is put on Plan 1, the Levels mechanism is activated for him. In 7 days (at the end of the Plan 1 billing cycle) a driver’s performance is reviewed as per the eligibility conditions. Regardless of the billing cycle (1/7/30 days), the system take into account driver performance data for the past 30 days prior to level revision and a driver has to be ACTIVE within this 30 day performance period)

Possible scenarios:

  1. In case a driver has completed less than 50 rides and/or his max. ride cancellation rate exceeds 5, he remains on Level 1.

  2. If a driver has completed >= 50 rides and his max. ride cancellation rate is <=5, he is transferred to Level 2 and charged commission as per Plan 2, linked to it.

In another 7 days (at the end of the Plan 2 billing cycle) a driver’s performance is reviewed as per the eligibility conditions of Level 2. Possible scenarios:

  1. Should a driver’s performance meets the eligibility conditions of Level 2, he remains on Level 2.

  2. if a driver’s performance does not meet the eligibility conditions of Level 2, he is downgraded to Level 1.

A Driver’s Level is reviewed systematically as per above mechanism until the Levels mechanism is amended or deactivated.

Each time a driver’s Level is revised, the data for 30 days prior to the recalculation is taken into account

IMPORTANT: a driver has to be in ACTIVE status for the 30-day period for correct statistics count and further performance review.

So, if a driver makes 50 rides within a weekly plan performance review and gets promoted to a higher level, these rides will be considered for all the next recalculations as long as they get to this 30-days period prior to a recalculation.

Performance data for the previous 30 days makes drivers work on a more consistent basis. It minimises cases when drivers perform really well during a short period of time to boost their level and then their performance drops, because they achieved their goal and got good conditions.

There is no report at the moment that stores data on a driver’s plan change as he moves up/down the level. A driver can review his current level, next level conditions : target terms and how to level up, revision timeline in the section Level of his driver app side menu.

Good luck with boosting your drivers’ motivation and performance metrics by implementing a smart Driver Levels scheme.
