Archiving an employee

Archiving and removing system access to an employee who has left your organisation.

When an employee has left your organisation, you can archive their profile and remove their access to oneHR. To start this process, head to the employee listing by clicking Employees on the oneHR main menu.

From this listing, we can then find the relevant employee and head into their profile.

Click the red Archive button. A pop-up box will appear and you will be prompted to fill in some information relating to the departure of the employee.

Once you have filled in the required information, click the red Archive button again. This user will now be removed from the employee listing. On the employee listing page, you will now find this archived user under the Former employees dropdown.

You can then click into this former employee’s profile.

Here you will be presented with our GDPR Function, where you can set timings after which oneHR will automatically purge data for this user. This will allow you to retain required information, and remove any that is no longer relevant or legally required.
