oneSAFE's Incident Log allows users to log accidents and near misses in the workplace.
Adding an Incident
To log or add a new incident, start by clicking on the Incident Log option on the main oneSAFE menu.
Here you will be presented with a table of existing Incidents and an ‘add new’ button in the upper right-hand corner of this page.
After clicking the add new button, you will be presented with a set of fields that you will need to populate for the Near Miss or Accident you are looking to log.
First, you will be required to set whether it was an employee or a customer that experienced the incident. Here you will be prompted to enter some contact information for this person. If they are an employee, this information will be auto-populated, given that they are set up on your oneSAFE account as a user.
Next, you will be prompted to fill in some information for the person who is reporting the Incident. Again, if this is an employee, this information will be populated automatically once they have been selected from the drop-down list on the right-hand side.
You will then be able to add a description of the incident.
Lastly, you will be required to assign this incident to a user to be reviewed. The assignee will receive an email from oneSAFE with a prompt to log in, review and confirm the details of the incident and that follow-up actions have been taken.
Here at the bottom of the incident form, you will also have the ability to create and assign one or more follow-up actions.
Once you have filled out the incident form and created any associated actions, you can then save/submit this record. Once submitted, this incident will be added to the table on the main incident dashboard/overview.
Incident Dashboard
On the main Incident Log dashboard, you will see two tables.
The first table will show you a list of accidents and near misses that have been raised, along with some key details such as the date, a description of the incident and also a breakdown of how many open/closed actions there are associated with this record.
The second table will show you a list of actions/tasks that have been created alongside our accidents and near misses.
Again, this table will show us some key nights such as the action description, the deadline and its open/closed status.
On both of these tables, you will find an export option on the right-hand side. These buttons will allow you to extract your Incident data and action lists.
