Assigning a Working Pattern
To assign an newly created, or existing working pattern to an employee, first click Admin on the oneHR main menu, and then from the Admin sub-menu, click Work Patterns.
From the drop down list, you will find a list of existing working patterns. When you select an existing work pattern from the drop down menu, you will be able to see a list of employees that this pattern has been assigned to.
You will also be able to see a breakdown of this working pattern, along with the days and hours that make up this pattern.
To assign the selected working pattern to an employee, click Assign in the top right corner.
A pop-up box will appear, prompting you to fill in some required fields. In the field titled Assign To, use the drop down and checkbox features to select which employees to assign the working pattern to. Then select the date you want to pattern to be Effective From. Click Assign.
You can also assign working patterns on an employee by employee basis. Click Employees on the oneHR main menu. Navigate to the relevant employee profile from the employee listing. From the employee profile sub-menu, click Working Week. Next click Add. A pop-up box will appear. Select the desired working pattern and the effective from date. Click Save.
Adding/Creating a new Working Pattern
To create a new working pattern, after clicking Admin from the oneHR main menu, and then Work Patterns from the Admin sub-menu, click Add New in the top right-hand corner of the page.
A pop-up box will appear, and you will be prompted to enter some initial setup information. This information being:
The type – There are two options for what type of working pattern we are creating:
· 1 – or more weeks (Monday – Sunday)
· Single or split shift Rota
What existing pattern this new one is based on – This gives you a template that you can tweak if the two working patterns are similar. (This is optional)
Name – This is the name of the working pattern. It is best to be as descriptive as possible when naming the working pattern.
Once you have added/entered this initial setup information, click Save. From here you are now able to set the working days and hours and whether or not these work days are Working from Home days.
Once you have updated the working days and hours for this new working pattern, click Update in the top-right-hand corner to save the changes.
This new working pattern can now be assigned to users to ensure that their leave and absence is recorded and deducted in relation to their specific pattern of work.
